The OE/HR Academic Generalist leverages subject matter expertise and campus-wide knowledge and perspective to support all efforts related to the faculty employment life cycle. This includes responsibility for collaborating with campus schools to facilitate faculty postdoc and academic student employee hiring, new appointment processing, onboarding, reappointments, promotion and tenure, merit/annual reviews, third year reviews, sabbaticals.. Functions will include serving as the Interfolio lead, Workday HCM2 Initiate and manager of the Academic SharePoint pages. The OE/HR Academic Generalist draws on broad human resources knowledge to exercise analysis and approval of Workday academic business process transactions, provides general guidance and support to school administrators and specialists on policies and procedures related to the faculty employment life cycle. This position is a member of the OE/HR team and as such instills trust and confidence with customer base and models excellence, collaboration, integrity, innovation, process improvement and respect.

Organization Excellence and Human Resource is a key administrative unit on the UW Bothell campus that oversees policies, develops processes and implements IT solutions to facilitate accurate and timely implementation of faculty employment lifecycle expectations/needs. OE/HR is a key partner to the Office of Academic Affairs and the General Faculty Organization. The ever-changing landscape of Central Office of Academic Personnel policies and practices, technology, regulation, and stakeholder needs requires OE/HR to be curious, solution-oriented, creative problem-solvers, agile and responsive. OE/HR serves as the conduit for institutional knowledge regarding academic human resources. As a member of the OE/HR, the OE/HR Academic HR Generalist provides critical front line support necessary to ensure the efficient, consistent, timely, and accurate and compliant administration of academic personnel across the UW Bothell campus. The OE/HR Academic Generalist provides backup support to the schools, transfers systems knowledge to staff members in the schools supporting academic human resources.

RESPONSIBILITIES:

Academic Human Resource Administration

Oversee schedules, communications, and data tracking in order to execute all AHR process, including:

• Recruitment, hiring, and appointments
• On-boarding
• Reviews (merit and third-year reviews)
• Reappointments (for full-time and part-time lecturers)
• Promotions (mandatory and non-mandatory)
• Sabbatical eligibility
• Separation & off-boarding

Coordinate timely communication and action on faculty personnel processes with campus and central HR offices, the STEM Dean and Program Support Supervisor, Division Chairs, Promotion Committees and chairs, external reviewers, and faculty members. Review faculty appointments and reappointments for all campus faculty:

• Review offer letters for internal review and approval prior to sending to candidates via DocuSign

Serve as HCM2 initiate in WorkDay Serve as the resident expert in Interfolio, responsible for reviewing and managing job postings aligned with provost approved hiring plan and promotion and tenure process. Implement promotion and tenure process, coordinating with schools, CCPT, OAA and OAP utilizing Interfolio. Manage the academic human resources SharePoint site pages, keep up to date and improve Support the OE/HR Business Partner with hiring and appointment process for Academic Student Employees Complete hiring plan and hiring report processes in collaboration with OAA. Coordinate and implement faculty campus-wide visa requests.

Customer Support

• Exercise independent judgment, specialized knowledge, and effective communication skills in responding to customer questions regarding academic personnel appointments, compensation, terminations, promotions, leaves, recruiting and hiring processes in accordance with university policies
• Work as a liaison to facilitate communication with other functional units when escalation is needed.
• Identify process improvement opportunities to deliver enhanced customer service.

Training and Consultation

• In collaboration and/or consultation with other OE/HR team members and leadership, provide general consultative services and training to academic and administrative partners across the campus using broad base of institutional policy and HR knowledge.

MINIMUM REQUIREMENTS:

• Bachelor's Degree in Business, Communication or other related field.
• At least two years of experience supporting administrative processes.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• Demonstrated ability to work in and across complex organizational and administrative systems (e.g. for processing, tracking, and reporting)
• Ability to learn new systems and technology as required for the job.
• Well-developed interpersonal skills, including the ability to communicate effectively (both verbally and in writing); to listen to and respond to people from diverse backgrounds and at all levels; and to develop productive, ongoing working relationships.
• Strong organization and planning skills, with the ability to establish priorities and organize multi-level tasks.
• Ability to work independently as well as in a highly collaborative environment.
• Strong working knowledge of Microsoft Office 365 suite of programs including Outlook, Word, Excel, Access, PowerPoint, Teams, and SharePoint.
• Demonstrated commitment and interest in creating and contributing to an inclusive, diverse, and equitable workplace.
• Ability to generate, analyze and utilize WD and Interfolio reporting to plan, implement and support AHR efforts across the campus

DESIRED:
• Experience with HR and payroll systems, such as (or similar to) Workday, Interfolio, DocuSign
• Experience with Academic Human Resources processes
• Knowledge of best practices in Diversity, Equity, and Inclusion, and fair hiring practices

WORKING CONDITIONS:

• This is an overtime-exempt professional position.
• A regular daily and weekly schedule will be established that coincides with the operating and office hours of Organizational Excellence and Human Resources.
• The position will be eligible for hybrid working hires.
• This position may require work outside of regular business hours in order to meet specific deadlines.
