The Executive Assistant will provide overall administrative support for the Dean.
Perform responsible and often highly sensitive and confidential administrative work, as well as special assignments delegated by the Dean.
Represents and supports the mission of the Office of the Dean in conducting business.

This position also serves as the primary event coordinator for the school.
This person will work in collaboration with all of the school’s operational areas to plan, implement and monitor events from approval through execution, while remaining within budget and timeline.

Work is performed independently within established office and University policies and procedures. The various duties performed are critical to the day-to-day operation for the Office of the Dean.
The Executive Assistant is expected to engage in active problem solving for the Office of the Dean, and to operate with considerable independence in assuring tasks are brought to completion.
It is expected that the Executive Assistant to the Dean will employ available fiscal and personnel resources on behalf of the Dean to realize the objectives and mission of that office. Qualifications
Bachelor’s Degree preferred.
Prior work experience in a busy, fast-paced environment.
Event Planning experience required.
Competency in MS Office suite and remote platforms required. Job Specific Qualifications
This position requires a highly skilled professional.
Diplomacy, problem solving, ability to work in ambiguous situations and outstanding interpersonal skills are critical.
Familiarity with University Operations is highly preferred.
General familiarity with human resource policy is helpful.
Event planning experience is required.
Technical skills include competency in MS Office (Word, Excel, PowerPoint) and remote platforms – Zoom and Teams. Responsibilities
  • Independently prioritize and manage the daily operations of the Office of the Dean and overall administration of the school.
  • Supervise Faculty Support staff, solve problems, and coordinate schedules.
  • Manage the Dean’s calendar, travel, and expense reconciliations.
  • Oversee hybrid faculty meetings and events, including preparing agendas and taking minutes.
  • Implement and monitor the iSchool Event Proposal Process from approval through execution.
  • Collaborate with department event leads to ensure monthly and annual events are scheduled, planned, and on budget.
  • Assist faculty with workshops, conference registration, and travel.
  • Act as the event lead on schoolwide events including: Convocations, Faculty Planning Days, and recognition celebrations.
  • Manage and participate in the dean’s communication process with the iSchool faculty and staff and the University central offices.
  • Maintain professional written and oral communication with constituents.
  • Ensure authorizations, documentation, and reporting requirements of the iSchool are fulfilled and kept up-to date.
  • Serve as a liaison with board members and lead the organization and planning of external board meetings and their associated events.
