Job Description Summary
The position provides high-level administrative support and project
management to the Risk Management and Insurance Department. The
incumbent will engage in a wide range of activities including
budget management, administrative support, and provides customer
support and service to diverse stakeholders and clients across the

high level of service.
Responsible for developing and maintaining communications, fielding
inquiries, and guiding customers and stakeholders through a variety

This position will provide administrative support to all staff in
the Department of Risk Management and Insurance. Primary
responsibilities include handling incoming mail, scheduling,
answering main office phone, triaging general questions and
inquiries. Administrative responsibilities include accurate and
timely completion of accounts payable activities, procurement of
office supplies, managing calendar of VP and staff, coordinating
events, booking travel for VP and managing check requests.
The role will assist with the management of automobile registration
and insurance card programs. This position requires strong
interpersonal/customer services skills and the ability to work
effectively with limited supervision and the ability to multitask
effectively in a complex and matrixed environment.
Core responsibilities include:
- Accurately manage payables activities for the office including
legal bills/invoices/settlement payments for settlements, claims,
insurance premiums. Ensure confidentiality of information and
security of documents.
Handle credit cards, petty cash or other instruments of cash
(customer cards, Purchasing Cards or PennCards, etc.); Protect and
demonstrate integrity for access to private information such as
SSN, credit card, personal data, health information or financial
data for students, alumni, staff, faculty, others.
Order office supplies and handle other purchasing functions. Manage
filing system for office and handle all aspects of incoming mail
with prompt service and positive customer interactions with diverse
clients and stakeholders.
Provide administrative support to office staff including scheduling
meetings, events and other appointments as needed with complex
calendaring and scheduling aptitude.
Accurately manage VP's calendar and travel arrangements, arrange
departmental events, promptly answer phones, triage/escalate
problems, greet people/clients and provide exceptional customer
service in a high volume environment.
Other duties as assigned.
H.S. Diploma or GED Required, with 5-7 years of related experience
or equivalent combination of education and experience. Experience
within a College or University setting preferred.
