About the Opportunity

Summary

The Network Science Institute (NetSI) is an interdisciplinary research community offering a unique doctoral program and a range of training and research activities for undergraduate and graduate students alike. NetSI seeks a Program Manager to manage the academic and student research programs of the Institute. Further, the Program Manager is a key partner for faculty as they manage curriculum, academic schedules each semester, and collect/analyze data related to the academic offerings and resource utilization of NetSI.

The Program Manager is the key administrator who will support the academic mission of NetSI. Specifically, the Program Manager will: coordinate curricula requirements, ensure policy compliance, manage programmatic budgets, implement and document program changes, maintain local student records, contribute to annual reports, and provide advising support to NetSI students. The Program Manager will also serve as the key contact for prospective and admitted students, as well as work closely with the Institute's Coordinator of Education, Diverstity and Outreach to organize professional development for current students and working with campus partners on student wellbeing.

The Program Manager will also manage hiring and payroll processes for students and teaching faculty (both full and part-time). They will post and process hiring of part-time students, summer interns, and student visitors, including any visa paperwork, as needed.

Under the direction of department leadership, the Program Manager will be a key part of successfully bringing students into department programs, a partner in their success through graduation, and a contributor to conversations concerning how to best carry out the academic mission of the department.

Responsibilities

Administrative Management of NetSI Graduate Programs
  • Responsible for managing, administering and directing resources of the program (with 8-12 faculty and 30-40 graduate students).
  • Coordinate course offerings and scheduling of qualifying examinations, dissertation proposals and defenses.
  • Implement and ensure compliance of program's policies and procedures to support student performance and development.


Academic Data Updates and Analysis
  • Work with NetSI leadership, use university systems (Cognos, Banner, Salesforce, DARS, TRACE, etc.) to provide analysis useful to the management, planning, and future growth of NetSI academic programs, including annual program report. Prepare summary statistics, slides and other materials, as needed.
  • Additionally, act as the central point of academic information within NetSI: this can include making updates to internal and external websites, maintaining local student records, tracking student achievements, reporting on program stastistics and activities, managing student evaluations, and documenting all key program information in student handbook, graduate catalogue, and program website.


Graduate Student Admissions and Advising Management
  • Provide advising and administrative support for NetSI students, ensure successful matriculation, enrollment, and progress toward degree completion.
  • Act as a liaison to support students' success and wellbeing; will work with students and NetSI staff to organize student activities (such as, orientation, research workshops, town hall meetings and community building events).
  • Manage program admissions process; point of contact for prospective students (including undergrads and co-ops); coordinate admissions review of eligible candidates; manage and host open house and process acceptances.


Academic Operations
  • Track funding for student stipends (RA and TA); monitor PhD graduate fellowship maintained by the program and institute; work with administrators across multiple colleges to ensure departmental and grant funds are accurate and appropriately allocated. Prepare monthly student payroll reports to inform budget projections for research supervisors; process payroll changes, when needed. Manage budget for program operational funds ($25k) and awarding and distributing $35-$40K in departmental student development funds.
  • Post and process hiring for part-time student hires, summer interns, and student visitors, including all necessary visa paperwork, as needed. Coordinate Part-Time Lecturer assignments with College HR team.


Qualifications

Bachelor's degree required in a related field, Master's degree in higher education or related field strongly preferred. Candidate should have a minimum of five years of relevant professional experience in an academic or nonprofit educational environment. Candidate must demonstrate strong organizational, communication, and time management skills. Successful candidates will also demonstrate an ability to assist and work with faculty, students, staff, and other guests in an academic or similar environment. Proven success working both independently and as a member of a team in a fast-paced and diverse environment is essential.
