Program Coordinator, MBA Full Time

The Carey Business School is hiring a Program Coordinator, MBA Full Time who will be responsible for the day-to-day communications, logistics and operations of the full-time MBA (FTMBA) program and the undergraduate Business minor. This position will coordinate all program events and special projects that impact the internal operations of both programs.

The Program Coordinator will be responsible for coordinating communication with current and incoming students throughout the academic year. The position requires a high degree of professionalism and maintenance of confidentiality along with strong verbal and written communication skills with the ability to communicate effectively at all organizational levels. Must be collaborative with excellent interpersonal and client services skills and the ability to build solid working relationships across the School and University. The position requires great attention to detail, as well as excellent planning skills.

The position will be based out of the Carey Business School’s Harbor East campus in Baltimore, but may require travel to our Washington DC campus.


Specific duties & responsibilities


Student/Program Support (50%)

  • Assist in managing FTMBA and undergraduate Business minor program email accounts.
  • Communicate with students regularly to provide program updates.
  • Support the FTMBA NEXT Mentoring program.
  • Process invoices associated with programs and departmental activities.
  • Prepare financial statements and maintain records pertaining to program activities.
  • Collaborate with campus partners such as the Office of Experiential Learning to develop logistics plans for international and domestic travel for project-based courses, site-visits, or trips.
  • Develop and execute program surveys using Qualtrics for continuous improvement data.
  • Coordinate, schedule, and record all FTMBA program meetings; attend other program meetings as needed.
  • Maintain email listservs for FTMBA and Business minor programs.

Event Coordination (40%)

  • Coordinate all FTMBA and Business minor programs-sponsored events.
  • Assist with the planning and implementation of Foundations Week, including serving as the primary contact/planner for all program logistics.
  • Manage inventory of speaker gifts, supplies, or other program-related items.
  • Serve as the primary contact for planning, organizing, and implementing program events.
  • Work with the FTMBA Association to plan, coordinate, and facilitate student events.
  • Be the primary point of contact for event communications with students, faculty, and staff.
  • Team with other departmental staff to volunteer at university-wide events such as graduation.

Scheduling/Data Management (5%)

  • Manage scheduling of team meetings, program events, student townhalls, and welcome sessions.
  • Develop, update, and maintain advising materials in collaboration with advising team.
  • Assist in updating program information on the Carey website, student handbook, and/or university catalog.
  • Assist the department in organizing documents, resources, presentations, and data shared drive and Teams site(s).
  • Input room reservation or other event details into 25Live.

Other duties as assigned (5%)


Special Knowledge, Skills, & Abilities

  • Provide academic and administrative coordination in support of a variety of academic program processes and activities.
  • Knowledge of SAP, and other related JHU educational support systems, preferred.
  • Intermediate proficiency in MS Word, Excel and PowerPoint, Qualtrics
  • Basic research and data analysis skills
  • Strong writing and customer service skills
  • Ability to draft original correspondence.
  • Ability to work independently.
  • Ability to perform multiple tasks concurrently.
  • Ability to set priorities and meet deadlines.
  • Strong communication, interpersonal, critical thinking, and organizational skills.
  • Ability to work with a diverse population, to include faculty, students, staff, and external constituents.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree strongly preferred.
  • Master's degree in a business-related discipline or higher education administration/student personnel services preferred.
  • 1 year of experience in academic advising administration.

Starting Salary Range: $17.95-$25.30 HRLY (Commensurate with experience)
