Director, Housing Operations

JOB DESCRIPTION SUMMARY

Florida’s only public university exclusively teaching science, technology, engineering, and math (STEM) is looking for exceptional candidates to serve as the Director of Housing Operations.

The Director, which reports directly to the Vice Provost of Student Affairs, must create efficient operational practices focused on leasing on-campus residence hall beds in the greater context of supporting student success and pride in Florida Polytechnic University. The position contributes to university planning and the execution of housing operations including marketing/promotion of University housing, lease execution, room assignments, and ongoing collaboration with the bursar’s office. This position leads the department’s occupancy management efforts and manages the room selection process for students. The position is a front line of communication for questions and problems related to rooms, room availability, and miscellaneous physical plant difficulties.

The position plans, oversee & direct summer conference operations in the residence halls. The position works directly with the maintenance partner as well as a strong collaboration with admissions to support incoming students.

JOB DESCRIPTION

RESPONSIBILITIES:

Leadership and Planning :
  • Work with the Provost and Vice Provosts to create an appropriate strategy for housing occupancy by student cohorts. This will include but not be limited to planning, reporting, management, communication & marketing.
  • Lead marketing efforts to ensure desired occupancy levels. Work with the Provost and Vice Provosts to forecast demand for housing by the different student cohorts.
  • Manage & oversee housing assignments and room changes/selection processes. Work with the Bursar’s office to ensure that information flow to student billing is complete and accurate. Provide critical input to occupancy projections and communicate those projections to the University administration.
  • Manage requests for exemptions and releases, based on directions provided by the Vice Provost of Student Affairs, from leases in a timely manner by coordinating with the Financial Aid office and Office of Disability Services.
  • Compile an annual analysis of competitive market housing rates and make recommendations for room rate structures to the Vice Provost of Student Affairs. Perform housing studies that include housing retention & projection trends.
  • Manage user experience, as well as administrative requirements with the university housing system (system has not yet been chosen).
Facilities Management :
  • Work with Maintenance partner to implement and assess any construction, renovation, deferred maintenance, renewal, and replacement, as well as general and preventative maintenance of all university-owned housing.
  • Plan and oversee unit “turn” at semesters and other times as necessary.
  • Directly support building and room access systems and keys.
  • Oversee all aspects of Florida Poly residence hall furniture inventory including furniture condition reports, replacement schedules, and the acquisition and deployment of furniture in all university-owned residential facilities. Develops and maintains regular review and replacement recommendations on the carpet, community kitchens, and other enhancements to the Florida Poly residence hall.
  • Actively support Residential Life in the Move-in and Move-out programming and processes.
  • Provide direct supervision for Housing Operations Coordinator.
Internal Partnerships :
  • Collaborate with Residential Life to ensure vision alignment. Actively engage with Student Affairs and Admissions/Financial Aid staff members.
  • Collaborate with Residential Life on unit/bedroom transfer requests and unit transfer procedures. Collaborate with Residential Life on student withdrawals, academic suspensions, and conduct suspensions/expulsions and move-out procedures.
  • Develop & maintain partnerships with key University stakeholders, including but not limited to Admissions, Auxiliary Enterprises, Finance, Financial Aid, Facilities and Safety, Procurement, and Technology Services. Manage relationships with external service providers.
  • Serve in an on-call capacity to support emergency maintenance responses during evenings, weekends, and holidays.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Advanced knowledge of MS Office; Word, Excel, PowerPoint, and MS Teams.
  • Exceptional written and oral communication skills.
  • Excellent interpersonal relations, diplomacy, and networking skills.
  • Demonstrated ability to take initiative and complete projects 'on time and on task'.
  • Ability to make administrative and procedural decisions on sensitive, confidential issues and the ability to maintain the confidentiality of information.
  • Ability to manage multiple tasks with attention to detail and deadlines and to adapt to rapidly changing priorities.
  • Experience preparing, managing, and reporting on complex budgets.
  • Proficiency with housing and other university database systems.
  • Ability to work under pressure in a very busy environment and manage multiple initiatives that overlap in time.
MINIMUM QUALIFICATIONS:
  • Bachelor’s degree with 5 years’ professional experience within Student Affairs/Housing/Property Management setting, or master’s degree with 3 years’ experience in Student Affairs/Housing/Property Management setting.
PREFERRED QUALIFICATIONS:
  • Master’s degree with five or more years of similar experience in Higher Education/Student Affairs or related field.
REQUIRED LICENSES, CERTIFICATIONS, AND/OR OTHER SPECIFIC REQUIREMENTS OF LAW:
  • Must possess a valid driver’s license.
  • This position requires a criminal background check, which may include a Level II screening as required by Florida Statute §435.04.
  • This position is subject to federal and state privacy regulations.
NORMAL WORK SCHEDULE: This position is salary exempt. The normal work schedule is Monday – Friday, 8:00 a.m.-5:00 p.m., however being on-call weekends, evenings and holidays will be required.

TARGET HIRING SALARY: $79,000 - $93,000, commensurate with experience.
