The Event Services Project Manager is a part-time, fully remote, one year position within the Office of Event Services under the Student Success umbrella at Drexel University. This role will undertake project-based work to help support the office and streamline current practices. Primary responsibilities include management of the EMS system, the primary software used to plan events on campus, as well as working closely with the Director to establish additional needs and gaps in the current office work.
Essential Functions
EMS Administration
- Work with EMS System Administrator to streamline system processes and documentation.
- Work with space managers across campus to add spaces to the system and train new users.
- Create training documents for all new staff members.
- Manage all system updates and upgrades including the integration with Engage/DragonLink.
- Edit the templates so that naming is updated in Social Tables software platform.
- Work with OCG to update existing alcohol policy and partners in Student Life in the creation of a student-specific alcohol policy.
- Serve as primary point of contact for student groups wishing to host programs on campus.
- Overhaul and streamline Event Form to create a more student-friendly approach to event planning.
- Provide quarterly training for Event Services team members to increase skills in EMS and as event logistics coordinators writ large.
- Create training documents for all new staff members for all internal processes and responsibilities.
- Create a space manual for reservationists outlining the capabilities and limitations of our reservable spaces.
- Review all web content for edits including PDFs and department policies. Work with relevant stakeholders to update.
- Assist the director with special projects at their discretion including but not limited to rethinking the current billing structure and partnership with external vendors, processing high-level events and leveraging relationships to execute department priorities.
- Minimum of a Bachelor’s degree.
- Minimum of 3 years of experience.
- Experience with EMS software.
