Department Summary
The Lundquist College of Business (LCB) is one of seven schools housing academic programs on the University of Oregon campus. The college works cooperatively with other UO Colleges and Schools to prepare students for a broad range of career paths. The Office of the Dean is often the first contact with the college that prospective faculty have. It is imperative that staff act as ambassadors of the College and University and operate as part of the team in the daily management of the college and faculty support services area.
Position Summary
This position provides diversified administrative support to the Lundquist College of Business and is responsible for the tracking and coordination of college events, assisting with the processing of operational paperwork, and coordinating various administrative and office management functions related to the Centers of Excellence. This position also supports the faculty, staff, students, and guests of the Lundquist College by performing clerical duties, managing the instructional needs of faculty, and serving as a central hub of information.

Other essential duties include coordination of international group travel; providing administrative support for faculty searches; procurement and expense reimbursement processing; dissemination of information; and managing department guest speaker series.

This position reports to the Associate Director for HR and Administrative Services but works directly with faculty and staff throughout the college, including but not limited to the Dean, Associate Dean(s), and Center of Excellence personnel.
Minimum Requirements
Three years of clerical/secretarial experience which included:
  • One year at full performance performing typing, word processing, or other generating of documents; and
  • Lead work responsibility or coordination of office procedures.

    Courses or training in Office Occupations or Office Technology may be substituted for up to one year of clerical/secretarial experience.
    Professional Competencies
  • Demonstrated ability to meet deadlines, anticipate needs, prioritize multiple tasks, follow through, and work independently without supervision while handling shifting priorities and interruptions.
  • Demonstrated ability to manage stressful situations with tact and diplomacy; use sound judgment, initiative, and discretion.
  • Proven proficiency with Word, Excel, PowerPoint, and Outlook (or similar scheduling/calendar program); familiarity with Microsoft Office applications.
  • Demonstrated project/time management and organizational skills, with the ability to manage details of multiple projects within firm schedules.
  • Excellent written and verbal communication skills; attention to detail.
  • Commitment to and experience with promoting and enhancing diversity and equity.
  • Self-motivated, flexible, organized, patient, and committed to the professional environment.
  • Able to work well independently and contribute as a valuable team member.
    Preferred Qualifications
  • Bachelor's degree.
  • Experience managing executive calendars, coordinating international group travel, and staffing executive level committees or equivalent, transferrable experience.
  • Experience managing, planning, coordinating, and implementing events.
  • Familiarity with software and tools such as Canvas, Concur, and Smartsheet.
