Position Summary: Reporting to the Assistant Vice President for Residential Learning and University Housing, the Director of Assignments and Administrative Services is as a key leader within the Office of Residential Learning and University Housing and is responsible for managing housing services to maximize student satisfaction and support programs that enhance student learning and development. The Director is responsible for management of occupancy and related assignments processes; accuracy of housing databases; maintaining and disseminating data and reports; assuring accurate and timely data feeds between housing and other university technology systems; developing and overseeing marketing and promotion activities related to University housing services; developing and maintaining website content; inter-departmental relationships with Information Resources, Bursar’s Office, the Registrar’s Office, Financial Aid, as well as Student Life departments; supervision of staff; and other duties as assigned.

The Director must have a well-rounded understanding of the overall management of a successful student housing program, with a particular depth of experience and skill in areas that will report to them. The Director must understand the needs of diverse groups of students and staff and be effective in developing programs and services that establish an inclusive residential community and department climate. The Director must also demonstrate effective skills with staff hiring, training, supervision, and evaluation.

As a member of the department’s management team, the Director will serve in an on-call capacity in a rotation with other managers providing 24/7 on-call support to staff and to assist with emergencies that occur after normal business hours. Related to this role, the Director must reside within a reasonable radius of the University campus to allow for the possibility of in-person responses to campus outside business hours. The Director must be familiar with and participate in training related to campus polices and protocols for crisis intervention around student conduct, wellbeing/mental health, facilities, and similar concerns.

This is a live-off position. This position regularly requires in-person and on-campus work. Limited work on nights and weekends is required during key events such as move-in/move out, orientation, open houses, admissions events, and commencement.

Essential Duties and Responsibilities include but are not limited to (other duties may be assigned):
  • Direct the room selection/assignment process and room changes for all University and affiliated housing facilities in accordance with established policies.
  • Use data (new and historical) to compile reports pertaining to occupancy, residential space utilization, housing assignment strategies, and rental rate projections.
  • Oversee early move-in, summer/winter housing, and check-out extension assignments functions.
  • Maintain and update accurate databases for assignments, billing, meal plans, and card access control purposes.
  • Serve as the liaison to Information Resources, Card Office, Bursar’s Office, and the University Registrar’s Office in all aspects related to the operation of databases and other pertinent technology including Adirondack- Housing Director, Atrium, and RS2. Establish and maintain data feeds as necessary between housing systems, Banner, and other systems.
  • Assures timely and proactive testing of data feeds and business processes to assure the integrity and accuracy of data in the Banner system.
  • Work closely with Residential Learning staff and academic departments to support Living-Learning Communities within the residential community.
  • Work closely with the Office of accessibility Services regarding necessary accommodations and medical requirements for students with disabilities in compliance with the Americans with Disabilities Act, the Fair Housing Act and other applicable laws and regulations pertaining to student housing.
  • Collaborate with the Wellness Center to assure compliance with vaccination verification requirements for resident students.
  • Provide training and oversight of Area Coordinators (ACs), Community Directors (CDs), and Community Assistants (CAs) in areas related to housing assignments.
  • Coordinate check-in and check-out periods with other professional staff.
  • Assist in the annual review and updating of the Housing Contract and Student Housing Policies; ensure each resident has a valid housing contract/application; interpret and enforce the housing contract with each resident; administer the mandatory housing and housing cancellation/termination process in accordance with established policies.
  • Assist students with roommate conflicts and implement room changes when needed.
  • Supervise the Housing Assignments Coordinator and Graduate Coordinators for Assignments, as well as other staff as may be determined. Assist in the recruitment and the selection of department staff.
  • Assist with in-service staff training for department graduate and undergraduate staff.
  • Assist in the development of information and publications pertaining to residential facilities, residential services, and residential programs in both print and electronic media.
  • Support the Assistant Vice President for Residential Learning and University Housing in development of annual operating budgets, determination of rental rates and revenue projections, and forecasting of expenses for capital improvements and technology and equipment needs.
  • Oversee outside vendor contracts such as laundry services and cable television.

Master's Degree in Student Personnel, Counseling, Higher Education Administration/Student Affairs, Public Administration, MBA or a related discipline.


Five years of related and progressively responsible experience in college/university housing with direct experience planning and coordinating housing assignments, room changes, and related processes; Experience supervising paraprofessional or professional staff and using database technology to support housing services.

Reasoning Skills: Ability to define problems, collect and analyze data, conduct assessment of needs and program effectiveness, and apply data and analysis skills to the formulation of proposals and solutions.

Technology: Proficient in use of technology to carry out electronic communication and develop both printed and electronic documents using computers and the Internet. Experience with Windows Operating system, Google suite software, Microsoft Office (Excel, Microsoft Word, Power Point), Outlook and other e-mail software, and Banner (preferred). Understanding of relational database systems and ability to oversee maintenance of technology assets.
