Job Summary

We are looking for the right person to fill this high-profile position that requires a commitment to a collaborative work ethic and close attention to detail. Some flexibility in work hours and occasional weekend hours are required. As appropriate to the Office of the President and the Board of Trustees, maintaining strict confidentiality is essential.

Essential Functions

Office of the President
  • Handle routine office operations, including but not limited to the office’s physical environment, screening telephone calls, handling office mail, greeting visitors, etc.
  • Assist in the planning and execution of President’s Office meetings and events.
  • Oversee and support the Zoom account, office email accounts, and electronic calendars.

Board of Trustees
  • Serve as the primary administrative contact for the Board of Trustees.
  • Manage Board of Trustees Board and Committee meetings, including scheduling, agendas, logistics, communications, technology, and event execution.
  • Oversee and support the Board Zoom account, Qualtrics survey platform and the Govenda Board of Trustee portal.
  • Assist vice president committee liaisons and executive assistants in preparing and uploading the pre- and post-meeting materials to the Board portal.
  • Maintain the official records of meeting minutes for Board and committee meetings.
  • Maintain the Trustee database, and ensure such information is accurately reported on the Board portal and Raiser’s Edge CRM .
  • Knowledge of the Board of Trustees Constitution and Bylaws and process and procedures.

  • Perform other duties as assigned.
Minimum Qualifications
  • Motivated self-starter and flexible team player who works well in a small office environment.
  • Excellent computer skills, database management experience.
  • Excellent oral, written and organizational skills.
  • Responsive and adaptable to a fast-paced environment and changing priorities with an ability to multitask and prioritize workload.
  • Excellent analytical and project management skills.
  • Ability to articulate complex questions and answers.
  • Ability to communicate graciously and interface effectively with all constituents while maintaining a friendly and resourceful attitude.
  • High school graduate.
  • Three to five years of relevant experience.
Preferred Qualifications
  • College degree.
  • Some experience with board governance.
Working Conditions/Physical Requirements

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently / constantly in order to lift, carry, push, pull or otherwise move objects.
