The Early Childhood Education ( ECE ) Program Coordinator serves as the primary liaison for an assigned caseload of students enrolled in Early Childhood Education at CLC . This position is responsible for providing a personalized, holistic, and culturally responsive advising, coaching, and mentoring experience for each student from their first day of classes through credential attainment and career or transfer transition. Responsibilities include academic advising, transfer guidance, career planning, financial planning, case management, progress monitoring, proactive outreach, support service planning and referral, and referral to student engagement opportunities. ECE Program Coordinators act as partners with the ECE department and various student support departments as well as ECACE navigators in their efforts to develop, implement, and provide programs and services that foster an inclusive and engaged ECE community.

The Early Childhood Education ( ECE ) Program Coordinator* will work on the Grayslake and Lakeshore (Waukegan) campuses as needed.

Required Qualification
1. Associate degree plus three (3) years’ work experience in a business environment, college or university OR Bachelor’s degree plus two (2) years’ work experience in a business environment, college or university.
2. Bilingual in Spanish and English.
3. Demonstrated personal integrity, ability to form effective partnerships, ability to collaborate with others and work in a team environment.
4. Demonstrated high level of responsiveness to students or clients and the campus community.
5. Possess excellent organizational skills and the ability to manage multiple priorities with diligent attention to detail and accuracy.
6. Experience working independently, prioritizing workflow, solving problems and making decisions.
7. An effective and exceptionally skilled communicator, specifically as it relates to verbal, written communication, and active listening.
8. Ability to develop and deliver effective presentations online and in small and large group settings.
9. Proficient knowledge of technologies used in department (i.e. caseload management systems, student enterprise software, MS Office, etc.).
10. Ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; Demonstrated commitment to diversity, equity, and inclusiveness.
11. Ability to work flexible hours including some evening and weekend hours consistent with student needs.

Desired Qualifications
1. Previous academic advising experience is highly preferred.
2. Experience with caseload management.
3. Demonstrated knowledge of, and prior experience with, IL Gateways Credentials, Illinois Early Learning Standards, IL DCFS Licensing Standards
4. Experience working with community college, under-prepared, and/or underrepresented students.
5. Bachelor’s degree

Working hours to meet the needs of the incumbent ECE workforce will be three days per week 8:00am – 4:30pm, two days per week 11am – 7:30pm and occasional Saturdays. Coaching, Mentoring, Advising (40%)


1. Apply appreciative (strengths based) and culturally responsive advising as teaching approaches to help assigned students determine, discover, design and create a pathway to their academic, career, and personal goals.
2. Embed cultural competence in mentoring practice.
3. Interpret and explain college policies and procedures related to curriculum, grades, student success, and degree completion.
4. Help students understand stackable credentials and select a starting point.
Ensure students achieve critical academic milestones.
5. Maintain detailed notes and semester by semester course plans for each student.
6. Maintain currency of knowledge regarding FERPA and other regulations.
7. Maintain currency of knowledge regarding Gateways credentials.
8. Provide support for students to secure funding for their education and develop a financial plan.
Collaborate with Financial Aid in understanding various funding opportunities including scholarships and grants, especially ECACE grants.
Provide appropriate referrals and assist with necessary paperwork.
9. Assess student needs and connect them to existing college resources; identify resources to enhance both academic success and personal development.
10. Create an environment in which students strengthen their self-advocacy, ownership, decision making, critical thinking, and goal setting skills.
Promote healthy approaches to balancing the demands of college, work, and family to students.

Case Management (30%)


1. Proactively manage a caseload of ECE students, effectively addressing their needs.
2. Establish mutually respectful one-on-one relationships with assigned students and provide individualized coaching and ongoing feedback.
3. Meet regularly with individual ECE students to check-in.
4. Work with PR to design and create communication tools for ECE student supports such as emails, Canvas groups, flyers, webpages, and print materials.
5. Encourage persistence through enrollment reminders about registration due dates, scholarship deadlines, and other institutional processes.
6. As appropriate, hold series of group support meetings for ECE students throughout the semester to review ECE content, build community and promote peer-to-peer relationships.

7. Work collaboratively with ECE faculty to troubleshoot student challenges with textbook, technology, and/or online course access

8. Provide students with information and instructions regarding College and department policies and procedures and assist as needed.
9. Utilize analytics to subdivide caseload into tiers based on need in order to deploy efforts in a more equitable and effective manner; designate highest-need students for intensive support and regular touchpoints during the term.

10. Communicate regularly with faculty regarding student progress and to identify course specific strategies that promote student success.

11. Monitor students’ progress by closely tracking registration and success data in real time; develop intervention strategies to assist students in their development.

12. Celebrate students’ achievements and completion of key milestones.

13. Explore individual problems with a student that might lead to academic challenges.

14. Respond to student concerns and issues by advising and referring them to appropriate resources.

15. Handle immediate or sensitive issues requiring confidentiality or quality assurance; escalate matters requiring senior leadership intervention to Department Chair or Dean level.

16. Use web services and software programs including EAB Navigate, PeopleSoft, transfer planning tools, Microsoft Office, Image Now, and other programs to assist in meeting student needs and the objectives of the College.

17. Maintain data to gauge student learning and success; help assess student learning outcomes related to advising.

Communication and Collaboration (30%)


1. Utilizing effective communication and conflict resolution skills, mentor students to adopt constructive inquiry, action, and resolution with concerns related to faculty, institution and IL Gateways.

2. Perform outreach work to education-related student organizations.

3. Develop and deliver workshops for ECE students pertaining to goal setting, transfer planning, study skills, time management, etc.

4. Support the ECACE Navigators’ recruitment efforts by way of providing presentations and workshops, staffing information tables, engaging with prospective students events, etc.

5. Participate in campaigns to promote ECE student engagement, progression, and retention.

6. Collaborate with ECE faculty and staff in support of the College’s comprehensive student success model.

7. Support the college’s initiatives to promote diversity and an appreciation for multiculturalism.

8. Help implement and evaluate new coaching processes and procedures and make recommendations for process improvements.

9. Participate in team and department planning, professional development activities, and college-wide committees as assigned and appropriate.

10. Engage in statewide ECACE network meetings and professional learning communities.

11. Perform other related functions as assigned.

12. Collect and share data related to Program Coordinator work internally and with funder as requested.

13. Perform related duties as assigned or mandated by the funder.
