Job Description

Oversees the development and management of the Office of Undergraduate Research and Creative Activity's Interns-to-Scholars program, Student Travel Awards, and the Pathways to Research speaker series, including but not limited to: working with departments across campus to hire I2S students, managing salary, operations, and travel budgets for all programs; supervises multiple student workers and part-time temporary employees; works in conjunction with the OURCA Team to organize and implement the annual Undergraduate Symposium, including but not limited to managing purchases, student registration, event planning/execution, and recruitment and training of external volunteers/alumni/donors to judge student projects. This role helps to achieve the primary objective of the department by increasing the number and diversity of faculty and students supported in their engagement of research, creative, and scholarly activities. This position will report to the Assistant Director of OURCA and will work the OURCA Team and other university administration, faculty, staff, and students across academic units.

Program Management - 75%
  • Manage the Interns-to-Scholars program, including the recruitment of faculty requests and student applicants, promotion of available positions, training of program participants on program expectations/procedures, meeting 1-on-1 with approximately 45 interns, managing program budget, and tracking of student deliverables
  • Review and award Student Travel Awards
  • Manage the Research Assistant Mentoring Program (RAMP), including the recruitment and training of student mentors, planning of program events, development of marketing materials, assessment of participant success, and the development and maintenance of web-based tools for program
  • Assist the OURCA team with the planning and execution of the annual Undergraduate Symposium
    • Work with multiple stakeholders on campus (administration, faculty, marketing) to plan event for 1,500+ attendees
    • Review over 700 student applications and work with Assistant Director to coordinate sessions, communicate with participants
    • Manage 300+ volunteer judges who review student presentations on the day of the event
  • Advise the Student Undergraduate Research Club
  • Lead the planning and execution of a monthly speaker series, Pathways to Research
    • Recruit faculty from a variety of disciplines to volunteer to speak
    • Coordinate event logistics (location, food, marketing)
  • Organize program events, including the development and distribution of marketing materials, slide presentations, and coordinating with other entities on campus
  • Work with the Assistant Director to enhance existing programs or create new initiatives to better serve undergraduate researchers and supporting faculty mentors
  • Assist in enhancing campus collaborations through presentations and dissemination of information to faculty, current students, and prospective students
  • Develop and maintain marketing/outreach materials

Budget Oversight - 10%
  • Manage budget for Interns-to-Scholars program
    • monitor student spending to ensure all expenses fall within allotted budgets
    • notify budget managers if students expend all funds
    • answer student inquiries on budget allowances and modification requests
  • Manage program budget of the Student Travel Awards

Employee Supervision - 5%
  • Supervise at least 2 student workers to support marketing and administrative duties for OURCA
    • Assign daily tasks, conduct regular reviews, provide constructive feedback, manage schedule, approve time
  • Approve time for up to 40 student researchers in various OURCA programs

Program Development - 5%
  • Work with Assistant Director to plan and implement new programs to increase the number and diversity of students engaged in undergraduate research, creative, and scholarly activities

Other - 5%
  • Website updates
  • Perform other duties as assigned

Work Environment

The work for this position is primarily conducted indoors in an office or common student/event space. This position requires walking to various parts of campus to meet with stakeholders or present in classrooms or public spaces on campus. At times, events are held in the evenings or on weekends that the employee is required to attend.

Minimum Qualifications

  • High school degree and 1-2 years of progressively responsible program coordination
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis


Preferred Qualifications

  • Experience planning and executing large academic events
  • Previous supervisory experience
  • Knowledge of budgeting and accounting practices
  • Experience working with multiple stakeholders (students, staff, faculty) in a higher education setting

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Anticipated salary range is $54,779 - $68,474. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Employees will have 31 days from their start date to enroll in benefits.
