JOB SUMMARY:Engagement with various constituents - both internal and external - is vital to the success of the University's goals, and campus events are often the most personal method to establish or enhance these relationships. The Campus Events Manager has the distinct honor of coordinating and overseeing some of Athens State University's most treasured occasions, along with the satisfaction of helping ensure each event is unique, memorable, and successful.The Campus Events Manager designs, establishes, and oversees the integrated logistical and administrative support needs of Athens State events. Coordinated events vary but could include educational conferences, donor receptions, fundraising events, galas, dinners, special ceremonies, or similar University-sponsored or hosted gathering.ESSENTIAL FUNCTIONS:
  • Participate in the planning and establishment of goals and objectives for various campus events with respect to budgets, speakers, facilities, technology, equipment, logistical requirements, and other event-related factors.
  • Coordinate applicable components of planned events, including contractual agreements, lodging, catering, decor, and facility reservations, along with support services such as audio-visual, security, maintenance, and janitorial services; evaluate program/event effectiveness.
  • Serve as a liaison between campus food services and event organizer in facilitating internal and external partner events.
  • Manage and facilitate external partner organization events, including facilities reservation needs and applicable sponsorship exchanges.
  • Serve as a liaison between contractors, organizers, faculty, staff, and administrators as it pertains to the planning and coordination of various events.
  • Recruit speakers and/or entertainment, as needed, for various functions.
  • Collaborate with Marketing & Communications team members for event promotion and other PR-related activities.
  • Prepare event budgets and facilitate purchase order/invoice processes in accordance with Athens State policies and procedures.
  • Coordinate the purchase of supplies and/or equipment for campus events/programs.
  • Participate in various campus committees and professional organizations, as needed.
  • Proactively research and implement industry standards and best practices.
  • May supervise subordinate staff and/or student employees.
  • Contribute to the overall success of the University by performing all other duties and responsibilities as assigned.

    Required Qualifications:
    • Bachelor’s Degree from an accredited college or an equivalent combination of training and experience that could likely provide the desired knowledge and abilities to perform the duties of the position• Experience as an Events Planner or Organizer, preferably within a university or college setting
    OTHER QUALIFICATIONS AND JOB REQUIREMENTS:• Excellent communication skills, both written and verbal; teamwork mentality• Ability to work with a variety of constituents, including outside vendors• Ability to oversee and manage numerous projects and meet strict deadlines• Ability to multi-task with exceptional organizational skills• Ability to work flexible hours - because the responsibilities of this position requires attendance at various events and meetings, the daily schedule may vary and include nights and weekends• Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and basic use of office equipment• Ability to supervise staff and delegate tasks efficiently
