Position Focus:
Reporting to the Director of the Irving S. Gilmore Music Library, the Associate Director for Special Collections (MSC) directly oversees Music Special Collections (including Historical Sound Recordings and Oral History of American Music), including arrangement and description, preservation, digitization, access, research services, events programming and exhibits.

The incumbent: Manages the Special Collections unit by promoting and instilling the highest service standards, and leverages the unit's resources to provide excellent customer service throughout the library. Shares responsibility with the Music Library Management Team for long-range strategic planning. Fosters a creative, collaborative, and team-oriented work environment; and facilitates communication and coordination between Music Library staff members and other units of the Yale University Library System. Establishes and improves policies for the MSC in support of learning and research through the provision of reliable, secure, and convenient access to MSC collections physically and virtually.

In coordination with the Music Librarian for Access and Research Service, helps plan strategic initiatives that connect researchers to digital collections, technologies, and subject specialists. Essential Duties:
1. Manages all Music Special Collections (MSC) operations (systems and workflows for facilities, security, arrangement and description, preservation, digitization), budget administration and services (access, reader services, events programming and exhibits), often in collaboration with other Yale Library departments. 2. Provides leadership and a unified vision for MSC, including policies and procedures for, and selection, organization, and ongoing management of music special collections (both print and digital) 3. Works closely with Music Librarian for Access and Research Services to coordinate Music Library staff who are cross-trained in and are responsible for both MSC and general library access services workflows and reference. 4. Works collaboratively with Music Library Director for all areas of MSC collection development, including: research and selection, dealer and donor relations, and acquisitions negotiations across a broad range of materials, including books, manuscripts, ephemera, photographs, media and digital media relating to music, and the budget to support the collection development program. Works in consultation with the Beinecke Library's Collection, Research, and Education Department, the Special Collections Technical Services Department, and the Preservation and Conservation Department to acquire materials in accordance with the Library's stewardship capacity. 5. Establishes, monitors and incorporates performance indicators to assess and improve the quality of services provided by MSC. 6. Develops and maintains strong ties with other members of the University Library and, as appropriate others in relevant academic fields to support the mission of the Music Library. 7. Participates in setting priorities, planning workflows, recommending changes to policies and procedures, resolves problems, interprets policies, generates statistics and reports, carries out projects. 8. Makes recommendations for MSC budgets and regularly monitors the current budget. 9. Participates in overall Music Library planning, including the move of collections and transition of services, in coordination with other units.

Required Education and Experience:
Master’s degree in Library Science from an ALA-accredited library school and an undergraduate or graduate degree in music. A minimum of five years of professional experience.

Required Skill/Ability 1:

Demonstrated ability to provide leadership in a research library and ability and achievement in managing staff and budgets. Demonstrated problem solving skills, experience coordinating projects, and the ability to bring projects to fruition.

Required Skill/Ability 2:

Familiarity with a special collections environment comprised of archives, manuscripts, rare and antiquarian books, audio-visual materials, and ephemera as well as in acquiring, cataloging, processing, preserving, securing, and/or digitizing them. Experience managing both analog and digital materials.

Required Skill/Ability 3:

Demonstrated ability working collegially, both collaboratively and independently, within a complex organization and rapidly-changing team environment. Excellent oral, written, and interpersonal communications, analytical ability, and the ability to provide exceptional service to a diverse clientele.

Required Skill/Ability 4:

Demonstrated commitment to excellence and innovation in developing programs for customer service and outreach, which includes curating exhibits and providing reference and instruction.


Preferred Education, Experience and Skills:
Advanced degree and/or relevant experience in music, or a related field. Experience in an academic library environment. Record of professional development and service to the field of librarianship. Experience leading change management within an organization.
