Classification Title: Administrative Analyst/Specialist, Exempt I

Classification Salary Range: $3,518 - $6,791 monthly

The final salary is dependent upon qualifications and experience.

About the position:

Ceremonies and Events are searching for a talented and motivated Events Specialist to organize outstanding and unforgettable events on our campus! You will be responsible for every part of event preparations while working with internal partners and external vendors.

Under the general direction of the Director, Ceremonies, and Events, the Events Specialist will provide strategic program leadership for large/complex University campus-wide events and activities. The ideal candidate will independently analyze, develop, and evaluate key events including Convocations, Awards Programs, Presidential Lecture Series, Ribbon Cuttings, Receptions, Commencement, and other events as appropriate. The position calls for occasional evenings and weekends.

Overview of Duties and Responsibilities
  • Oversees the logistics of planning, producing, and executing large/complex University-related events.
  • Develops and prepares event program materials including PowerPoint Presentations
  • Creates social media campaigns as needed for Instagram, Facebook, Twitter, and email communication programs.
  • Maintain and track RSVPs, coordinate guest lists and speaking points for speakers
  • Access, formulate, and evaluate the impact of recommended implemented policies from a strategic and operational perspective

  • Monitor event budget and obtain estimates from vendors/catering for related events. Elevate concerns and discrepancies accordingly.
  • Create and facilitate purchase orders, requisitions, and direct buy all to pay vendors in a timely manner.
  • Interacts with a variety of campus and community constituents including working with students, faculty, staff, alumni and university stakeholders to assist them or resolve problems
  • Provides lead work and training for registration staff and volunteers for larger events.

Minimum Qualifications
  • Bachelor's Degree or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • 3-5 years of office or event management experience

Preferred Qualifications
  • Bachelor's degree from an accredited university
  • 5-7 years progressive of office or work-related experience
  • Previous experience at a university level
  • Knowledge of event management
  • Graphic design abilities
  • Knowledge and/or experience using CMS/PeopleSoft preferred

Conditions of Employment
  • Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program.
  • Satisfactory completion of a background check (including a criminal records check) is required for employment. Failure to satisfactorily complete the background check may affect the application status of applicants or the continued employment of current CSU employees who apply for the position.
