FMD Administrative Assistant



Summary

VCU Facilities Management is seeking to hire an FMD Administrative Assistant.

Among the responsibilities are:
  • Individual will serve as department receptionist (backup), answering multiple lines promptly, handling all mail pick-up and deliveries
  • Requires access to RealSource and Banner Finance for creating purchase orders and receiving invoices; therefore, successful completion of the required training will be needed
  • Will assist, create, and handle mass mailings, order supplies, maintain office equipment, and maintain files for the office
  • Responsible for conference room calendar and will be the back up scheduler for the Associate Vice President for FMD and the Director of Staff Operations
  • Prepare equipment for conference room meetings when requested
  • Provide great customer service when visitors enter the suite and also incoming/outgoing phone calls
  • Deliver documents throughout the VCU campus
  • May sometimes be called to fill in and assist other departments within Facilities Management and Administration when needed
  • Assistance in organizing events that may require reserving space, coordinating IT support, and catering
Minimum Hiring Standards
  • Must have excellent communication skills, typing, and filing skills
  • Experience using Microsoft Word and Excel
  • Experience using an email system; preferably Google Mail
  • Ability to operate general office equipment
  • Must be able to work under pressure or fast paced at times
  • Able to meet deadlines when necessary
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Days/Hours: M-F, schedule between 8am-5pm


Salary Range: $11/hr - $14/hr
