Position Responsibilities:
The Department of English in the College of Humanities and Sciences welcomes applicants to apply for an hourly position as an Administrative Assistant and Communications Manager.
The Events and Systems Coordinator Administrative Assistant and Communications Manager role supports the mission of the English department by providing administrative office support, social media management, and planning of undergraduate events.
General Responsibilities
Event Planning & Social Media Management
- Manage and lead the English department’s social media accounts
- Grow and develop a variety of content for social media channels, web content, and
newsletters to better build a community within and outside of the department by
creating and sharing interesting, relevant, and engaging content
- Produce videos for social media, events, and other marketing opportunities.
- Identify new and innovative ways to enhance and expand our social media presence
and outreach
- Design and edit large- and small-scale products and publications
- Plan and facilitate undergraduate and faculty events hosted by the English
department
- Interview alumni and current students for Q&As for the website and social media
- Maintain and uphold our branding and messaging guidelines in all digital and printed
materials
Administrative Assistant / Systems Coordinator
- Compile English department course syllabi
- Notify enrolled students of class cancellations
- Compile English department course descriptions for publication on website
- Assist with course scheduling and teaching assignments
- Assist Fiscal Administrator and Executive Administrative Assistant with fiscal
operations
- Assist Executive Administrative Assistant with graduate student travel booking and
reimbursements.
- Prepare and process Independent Contractor Agreements
- Order office supplies
- Utilizes the state purchase card to make office supply purchases while adhering to
university policies and procedures, and conducts monthly reconciliation
- Receives deliveries and distributes orders to the appropriate staff members
- Works closely with resource director and other staff members to ensure essential
customer service coverage
- Daily office organization
Required Qualifications:
- Knowledge of etiquette, protocol, and conventional social amenities
- Excellent effective communications skills, both oral and written
- Ability to work independently; a self-starter with a high level of motivation, creativity,
and proactivity
- This position requires candidates to have a strong customer service philosophy and
to be able to deliver quality service to students, faculty, and administrators during
high traffic and high pressure cycles throughout the academic year
- Excellent organizational skills to prioritize work and handle multiple assignments.
- Experience building social media channels and executing social media strategy for
maximum engagement
- Ability to work in a diverse work environment
- Proficiency in GSuite and Microsoft Office applications
- High school graduate or equivalent
Preferred Qualifications:
-Experience managing social media accounts for a professional organization
- Applicant should have knowledge of how a university-level English
department functions, with preference towards familiarity with the student
population
- Graduation from an accredited college or university preferred
