The Administrative Assistant in the Office of Student Life is a front-line role that offers opportunities for personal and professional satisfaction. This role will serve our talented students under the direction of the Vice President of Student Life/Dean of Students, as the initial contact for the office. In addition, the Administrative Assistant 2 will be responsible for providing assistance and support to the department related to budgets, record management and scheduling.

Position Duties:
  • Budget Coordination : provide monthly budget reports to the VP of Student Life/Dean of Students, coordinate the ordering and receiving of supplies/resources.
  • Budget Coordination : ensure that all budgetary paperwork is properly cross-referenced, filed, recorded, and achieved per University policies.
  • Customer Service : greet/welcome students, parents, employees and guests to the office in a pleasant, positive and service-orientated manner.
  • Customer Service : effectively assist students who might be in distress, make appropriate referrals to address specific concerns, follow up on matters as appropriate and/or necessary.
  • Record Management : adhere to University policies related to record management and/or destruction, effectively use Maxient, RSN, and other tools to document work with students, maintain the highest levels of confidentiality with information contained in records.
  • Scheduling : serve as the comprehensive manager of the calendars of the Vice President of Student Life/Dean of Students and Assistant Dean of Student Life.
  • Student Absence Notifications : serve as the comprehensive manager of the Student Absence Notification process in collaboration with the Vice President of Student Life/Dean of Students.
  • Student Absence Notifications : collaborate with students and faculty as appropriate and/or necessary.
  • Other Duties : the office of the Vice President of Student Life/Dean of Students is unlike any other on campus. As a result, this position will be assigned duties and tasks on an as-necessary basis (which could include requests with short turn-around times). Assist other members of the Division of Student Life with the questions and/or needs as appropriate and/or necessary.
Education
  • Bachelor’s Degree is required. Experience may be substituted for education requirement on a year-for-year basis.
Qualifications :
  • Two (2) years of professional/administrative experience required. Preferably in a higher education or related field with responsibility for assisting in the coordination of office administration (preferably including compiling data, drafting statistical reports, coordinating office workflow and monitoring budget expenditures). Note: A Master’s Degree may be substituted for two years of experience.
  • Ability to effectively work autonomously with little direction and at other times, take direction or collaborate priorities of others.
  • Ability to manage multiple complex situations simultaneously with attention to detail, coordination, and organization.
  • Effective interpersonal skills plus energy, creativity, organizational skills, tolerance for ambiguity, and a healthy sense of humor.
  • A commitment to diversity, sensitivity to the needs of a diverse student population and promoting a campus climate that encourages inclusion.
  • Strong commitment to working with students.
  • Strong organizational and administrative skills, attention to detail, the ability to think creatively and analytically.
