Job Description:

The Human Resources Employment Coordinator reports to the Director of Workforce Development. A member of the Employment Team of HR staff that supports the recruitment and onboarding of new hires and is responsible for personnel data changes, records management, and other staffing-related needs.

Primary responsibilities include HRIS (PeopleSoft) data entry and personnel file maintenance for Faculty, Staff, and Student Employees. This includes the administration required for new hires, transfers, promotions, pay rate changes, and terminations. This role regularly interfaces with staff responsible for payroll, employment, unemployment claims, compensation, HRIS, and benefits in order to ensure personnel data changes are entered and processed in a timely and accurate manner, backed up with appropriate documentation that is confidentiality maintained in personnel files.

Employment Responsibilities
  • Responsible for processing transactions in PeopleSoft including but not limited to: new hires, promotions, transfers, and off-cycle pay increases for staff and faculty.
  • Creates appointment letters for new hires and internal staff, including promotions, transfers, and off-cycle pay increases.
  • Serves as a member of the HR onboarding team and acts as a resource for our new community members. Processes pre-employment/onboarding requirements for faculty, staff, and temporary workers. Partners with HR team and Provost Office on the faculty onboarding process. Monitors I9 compliance.
  • Initiate and review Background Checks for approval and entry of data into software system.
  • Support employment processes including assisting with applicant tracking system.
  • Works closely with the Provost and Budget offices to manage the faculty hiring and leave setup in Human Resources.
Payroll/Record Management Responsibilities
  • Ensures payroll materials are created and submitted to the Payroll department in a timely manner through Image Now.
  • Runs required payroll validation reporting for each payroll period, prioritizing data integrity. Partners with the Controller's office.
  • Maintain electronic (scanned) personnel files for all employees. Review records to verify data such as date of hire, contact information, date of birth, job title, work schedules, department and job codes.
HR Support Responsibilities
  • Maintain newly-created job descriptions and updates to existing job descriptions in a centralized database.
  • Provides backup support to Benefits Specialist with regards to data input and data integrity for benefits plan deductions and changes.
  • Be an active participant in a team that is committed to the delivery of HR services that meet the highest level of professional standards. Provide high quality customer service to College and external constituents, with individual College employees being the single most important constituency. Strive to ensure the deliverance of the type of high quality service and practices that attract, retain and develop outstanding staff. Other duties as determined by the HR needs of the College. Ensure compliance with HR policies, procedures, and requirements and applicable legal regulations.

Requirements:
  • Associates Degree or equivalent Human Resources experience.
  • Two or more years of experience in data entry/recordkeeping.
  • Prefer prior experience in human resources, accounting, or finance.
  • Excellent organizational skills with attention to detail and accuracy.
  • Excellent data entry skills.
  • Strong interpersonal and customer service skills; effectively communicates and collaborates with staff at all levels.
  • Proficiency in business software, including Microsoft office suite and Google Suite.
  • Must be able to discreetly maintain confidential information.
  • PeopleSoft or other HRIS systems experience a plus.
