General Description:

The Associate Director will play a pivotal role in creating relationships and partnerships with students and alumni to achieve the objective of strengthening alumni connections to each other, current students and the institution. This is a highly collaborative position, requiring close working relationships with development colleagues from across the university and the academic departments of the School, along with volunteer management duties. The Associate Director of the Reunion & Homecoming Office will report directly to the Senior Associate Director of Alumni Relations and Reunion & Homecoming Office. The primary role will be to oversee from conception the development and implementation of various cultivation, stewardship and information programs that successfully engage alumni through staffing, event production management, and communications for the Homewood schools spring Alumni Weekend (AW) and the fall Young Alumni Weekend (YAW). The Associate Director of the Reunion & Homecoming Office will also be responsible for creating and implementing cultivation and engagement strategies leading up to reunions/homecomings, and post-reunion stewardship.

Primary Duties and Responsibilities:

Alumni Management and Volunteer Leadership

  • Partners with the reunion class committees who are celebrating reunions to plan their reunion experiences.Initiate, oversee and manage key components of reunion activities for assigned reunion class (3-reunion classes)committees -for the undergraduate alumni of Arts & Sciences and Engineering.
  • Oversee and manage key components of specific reunion weekend programming for Alumni Weekend events.
  • Identify new reunion programming that allows alumni to reminisce on their time at Johns Hopkins and learn about the current student life on the Homewood campus.
  • Identify opportunities for events and engagement that would lead up to Reunion.
  • Expand reunion programming to include and attract students, alumni, faculty and staff.
  • In collaboration with the Office of Annual Giving partner, acts as liaison between the reunion class committees to lead the reunion experience planning with a focus on “Come Back. Give Back.”
  • Ensure Homewood School priorities, themes and objectives are properly incorporated into reunion and homecoming activities (i.e. anniversary milestones).
  • Collaborate with the development staffs in the Office of Annual Giving, Schools of Arts & Sciences and Engineering to co-lead assigned reunion committees and to increase overall alumni attendance, gift participation and alumni satisfaction.
  • Plan and execute receptions and informal gatherings of reunion alumni hosted by alumni volunteers in metropolitan areas, as needed.
  • Directly supervise two Assistant Directors one who oversees the registration management system, marketing and communications and one who oversees the logistical management programs.
  • Provide volunteer committee members with regular and timely communication of fundraising, participation, and engagement progress and results.

Partnerships

  • In partnership with the Krieger School of Arts & Sciences and the Whiting School of Engineering identify ways to increase Alumni Weekend attendance and relevance for alumni and their guests.
  • Develop and maintain relationships with the Schools of Arts & Sciences and Engineering alumni.
  • Partner with the Registrar’s Office and the University Events and Scheduling Office to seamlessly incorporate into the University calendar all Reunion & Homecoming events and all student events.
  • Market alumni weekend to Homewood, Peabody, Nursing, Education and Carey Business schools affinity groups and develop affinity group activities for Arts & Sciences and Engineering Masters Programs.
  • Build and maintain relationships with external vendors; oversee the development and execution of Requests for Proposals, evaluation process, and vendor contracts.
  • Identify and execute a sponsorship program to increase funding for Alumni Weekend. Create unique and individualized sponsorship opportunities for YAW and AW. Build from the ground up, relationships with corporations who may benefit from a sponsorship partnership. Develop a cold–calling list. Communicate with these companies to present partnership opportunities. Successfully engage and develop sponsorship partnerships.

Communications

  • The Associate Director will create, design, write, produce and distribute all themed communications and collateral materials (i.e. Save the Date and Alumni Weekend brochure) for targeted alumni audiences promoting Alumni Weekend and Young Alumni Weekend.
  • Oversee and manage all Reunion & Homecoming website content, and develop new content as needed.
  • Work in partnership with the Alumni Relations Digital Manager and the Office of Communications to ensure that website design and content is consistent with the University’s branding guidelines. Oversee and provide leadership for the management and execution of the Johns Hopkins Alumni Weekend social media channels– Twitter, Facebook, Instagram, etc. Maintains a working knowledge of editing audio/video from Alumni Weekend and Young Alumni Weekend and posts to social media.
  • Develop analysis tools to track alumni relations activities to determine effectiveness, discover and cultivate opportunities for programmatic collaboration and produce reports for senior staff including the Associate Vice President.

Minimum Qualifications:

Bachelor’s degree.

Three years of relevant experience required.

  • Ability to strategize and conceptualize with the Senior Associate Director on new ideas for events and be able to translate these ideas into specific actions.
  • The ability to cultivate partnerships and work with varied constituencies of the University.
  • Aladin (University database) experience preferred
  • Proficiency in Drupal, HTML, Microsoft Office (to include: Word, Excel and Power Point), and Adobe Suites (to include: InDesign, Photoshop, Adobe Premiere Pro, Illustrator), and familiarity with graphic design and social media.
