We are currently seeking to fill our Residency Program Coordinator position at the Philadelphia campus with a highly qualified and passionate individual.

POSITION SUMMARY:

With oversight and direction from the GME Administration and the Program Director, the Residency Program Coordinator is responsible for the day-to-day operation of the residency program. The position requires a comprehensive and detailed understanding of the program requirements of the Accreditation Council for Graduate Medical Education (ACGME) as well as the requirements of the respective specialty boards.

The Program Coordinator will continually assess and direct a wide range of programmatic issues, including long-range planning, recruiting trainees, developing/managing the program budget, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees regarding various issues, and managing internal and external program relations.

ESSENTIAL DUTIES & RESPONSIBILITIES:

· Provides support and coordinates activities with the program director concerning office management issues and the status of projects.

· Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.

· Assists in program-level policy development.

· Provides both administrative supervision and support to residents.

· Acts as a liaison between residents and hospital administration when necessary.

· Informs residents of inter and intradepartmental policy and procedure changes, with assistance from the GME office.

· Tracks, reports and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of residents.

· Manages materials for specialty-specific resident exams and may assist with proctoring exams.

· Develops, implements, and oversees the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems.

· Evaluates and standardizes office procedures and efficiently troubleshoots and resolves issues.

· Maintains databases with resident and faculty data, including E-Value.

· Manages the evaluative processes of the residents, program, faculty, and rotations.

· Assesses equipment acquisition and training needs and makes recommendations to the Program Director.

· Assists in ordering equipment and supplies for the training program.

· Assists in planning annual departmental events, including recruitment, orientation, graduation, faculty retreats, as well as various meetings and program-related events.

· Assists the program director in preparing and managing the residency program budget.

· Organizes meetings prepare, and distributes materials for conferences and lectures.

· Develops brochures, invitations, and advertisements for events/lectures.

· Maintains the ERAS database (Electronic Residency Application System) and oversees its processes during the residency recruitment season.

· Processes all incoming residents and coordinates appointments to the hospitals.

· Assists in the preparation for ACGME site visits, self-studies, and internal reviews.

· Assists in monitoring resident’s duty hours, evaluations, and operative/case experience via regular review of data reports.

· Monitors the checkout process for the graduating resident class, which entails maintaining the database of materials needed to be turned in, and processing and submitting documents to the appropriate agencies.

· Manages student rotation schedules and credentials.

· Performs other related duties as assigned and requested, at the direction of the Program Director and GME Administration.

POSITION REQUIREMENTS:

· Ability to make decisions independently or to escalate issues as needed.

· Excellent organizational, analytical, and communication skills are required of successful coordinators. The environment is fast-paced and ever-changing, and coordinators often need to be able to think on their feet and work independently.

· Ability to handle sensitive information with absolute confidentiality.

· Working knowledge of software applications, including Microsoft Word, Excel, and PowerPoint.

EXPERIENCE:

· Three years of related experience in graduate medical education, a health care setting, or higher education preferred.

Salary Range: $44,400 - $60,000
