Job Summary:

The Wisconsin Surgical Outcomes Research Program (WiSOR) is seeking an Administrative Director to support our rapidly growing program. WiSOR is an interdisciplinary, multi-investigator research program that supports a wide variety of outcomes-focused research, including health care disparities, comparative effectiveness research, patterns of care, and performance and safety in surgical care.

The WiSOR Administrative Director is a key member of the WiSOR Leadership Team working closely with the WiSOR faculty directors, Dr. Corrine Voils and Dr. David Francis, and reports directly to the Director of Surgical Research Operations in the Department of Surgery at UW Madison. This position helps lead the strategic planning and growth of WiSOR, is a key partner to WiSOR faculty and research staff, and supports the daily operations of the WiSOR research program.

Several key job responsibilities include:
- Writing strategic plans for WiSOR and overseeing implementation of strategic plan objectives and priorities in collaboration with the WiSOR leadership team.
- Managing research staff recruitment and onboarding processes for WiSOR research positions.
- Supervising several WiSOR staff members including an administrative assistant and research staff that work with multiple WiSOR Investigators.
- Managing staffing effort and placement on research projects, which includes detailed tracking and monitoring of grant funded effort, grant budgets and timelines, and staff skill sets and expertise.
- Providing portfolio management services regarding budget projections and budget monitoring to WiSOR Investigators in collaboration with the grant management and post-award teams.
- Develops annual budget for WiSOR expenses, identifying annual and long-term budgetary goals and priorities.

An ideal candidate will have working knowledge of health services or related research and how to navigate an academic medical center/university environment. Knowledge regarding research grant management, including budgeting and staff effort management, is highly desirable. An individual with established strategic management, people management, project or portfolio management, and process improvement abilities will be a great addition to the WiSOR team.

This position will have daily interactions with faculty and research staff but will also interact frequently with WiSOR and Department leadership. Excellent communication skills are essential. This position will also complete a wide variety of duties spanning many different subject areas. Someone who enjoys a diverse, fast-paced environment will be successful in this position.

Responsibilities:

Assists with the planning and direction for the administrative operations of a division or business unit(s) of the institution to advance program goals and objectives.
  • 15% Engages in strategic planning and policies to ensure the strategic direction supports the needs of stakeholders
  • 15% Evaluates, designs, and implements operations to align with the strategic direction
  • 10% Assists with the establishment of goals and priorities for the annual budget for all revenues and expenditures
  • 15% Helps develop processes and procedures to improve the unit
  • 15% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 10% Ensures that related policies, procedures, and standards are maintained
  • 5% Monitors WiSOR budget and approves WiSOR expenditures
  • 10% Hires and manages research staff, managers distribution of effort across investigators, and resolves problems and inefficiencies in WISOR.
  • 5% Participates in activities and meetings designated to facilitate health services research collaboration and strengthen relationships with regional partners, community sponsors, and other stakeholders.

Education:

Required
Bachelor's Degree in business administration, social science, nursing, public health, population health, or other health-related field

Qualifications:

Required Qualifications
- Bachelor's degree in business administration, social science, nursing, public health, population health, or other health-related field.
- At least two years of experience in an academic healthcare or health research setting.
- At least two years of supervisory experience.

Preferred Qualifications
- Minimum of one year of experience in research administration, grant management, and/or other relevant experience managing budgets and/or grants.
- Experience with public health, health services, outcomes research, epidemiology, or population health research.

An Ideal Candidate will:
- Possess excellent communication skills to be able to connect with diverse groups.
- Be a proven leader with experience running programs, projects, and/or managing teams and people.
- Be able to efficiently and effectively multitask across a variety of duties and subject matter areas on a daily basis.
- Be a strategic thinker and planner with experience developing and executing strategic plans.
- Have process improvement experience.
- Have excellent project management skills.

Work Type:

Full or Part Time: 80% - 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Additional Information:

The successful applicant will be responsible for ensuring eligibility for employment in the United States on or before the effective date of the appointment. University sponsorship is not available for this position.

Effective January 1, 2020, the U.S. Department of Labor Fair Labor Standards Act (FLSA) will be updated to require that positions earning less than $35,568 annually be considered non-exempt under FLSA provisions for overtime (see https://www.dol.gov/whd/overtime2019/ ). Based on these rules, if the person selected for this recruitment will earn less than the new salary threshold at January 1, 2020 ($35,568 annually), he/she will be an academic staff non-exempt employee, will be paid hourly, and will receive overtime compensation for any hours worked over 40 in a workweek.
