Job Description:

Reporting to the Director of Student Employment, the Student Employment Administrator will support day-to-day operations within the Office of Student Employment to help students as they define, develop, and realize their career potential with greater intention and success. This position will be a key ambassador for all aspects of the campus-wide Student Employment program. Responsibilities include managing the daily operations for all student employment onboarding, policies, and procedures. Works directly with staff, faculty, and students on issues pertaining to student employment. Primary collaborators include the Human Resources, Student Financial Services, International Center, and Finance teams.

  • Oversees the campus-wide student onboarding process to ensure customer expectations are met and/or exceeded and the program remains compliant with state and federal labor laws. Includes performing data entry into Banner for job records for all students (undergraduate and graduate) as well as reviewing all onboarding paperwork to ensure all federal and state requirements are followed with respect to I-9 forms, identity verification, and related processes.
  • Coordinate with the Payroll Department and Human Resources at each stage of the biweekly payroll process (initial review, corrections, final sign-off, etc.). Interpret information on Human Resources and Payroll-related forms to ensure accuracy and completeness; follow up with appropriate constituent groups for incomplete/missing information.
  • Manage review and posting of all student positions in Handshake and advises students and student employment supervisors regarding student employment related issues and opportunities.
  • Oversees all matters related to the biweekly student payroll process, ensuring the office is providing accurate and timely information and documentation to the Payroll Department.
  • Provide exceptional customer service by researching/answering questions, providing information and ensuring appropriate follow-through and/or resolution, including policy interpretation.
  • Assist with budget management, allocation and processing purchase orders (SmartBuy Plus).
  • Participate in the growth and development of the Department, Division, and Clark University
  • Support key retention and student success initiatives
  • Support key initiatives and experiences within Student Success and the University, such as opening weekend, orientation, commencement, family weekend, traditional events, career fairs, involvement fairs, etc. 
  • Serve as a responsible committee representative as requested
  • Attend necessary meetings and inform staff regarding relevant information
  • Promote efficiency and courtesy throughout the University community and ensure that it is consistent with Student Success' mission and values
  • Remain cognizant of the University's mission and identity, the constant promotion of diversity, equity, and inclusion, and the importance of student voices
  • Communicate effectively with supervisor concerning pertinent departmental and University matters
  • Other duties as assigned that are within the best interest of the division

Requirements:

  • Associate's degree required; Bachelor's degree preferred.
  • Ability to meet deadlines while maintaining exceptional data entry skills with high degree of accuracy and attention to detail.
  • Strong interpersonal skills, ability to communicate effectively and maintain positive relationships with a range of customers with diverse backgrounds including students, faculty, staff, and parents.
  • Ability to quickly learn new software programs, as well as familiarity with computer information systems and databases. Knowledge of Banner and/or Handshake is a plus.
  • Ability to maintain confidential information.
