Position Details
Wesleyan Auxiliary Services enhances the campus community by providing a variety of services to support campus life for students, staff, alumni and guests. Auxiliary Services is comprised of six areas: Operations, Reservations & Conferences, Retail Services, the WesCard Office, Dining Services, and Mail Services (WesStation). Operations runs the day-to-day functions of the facilities that fall within Auxiliary Services including Usdan University Center, Fayerweather, and Memorial Chapel.

Reporting to the Associate Director for Auxiliary Services, the Assistant Director is responsible for on-site management, general technical support, facility maintenance and upkeep of the Usdan University Center Complex (Usdan University Center, Fayerweather, and Memorial Chapel). The Assistant Director is a visible presence in the building, managing daily operations and providing onsite support to students, staff, faculty, and other visitors within the buildings.

Responsibilities:

  • Monitor all activities in the facilities and conduct daily rounds to ensure welcoming conditions, safety, and security. When necessary, respond to facility issues and emergencies and determine appropriate course of action.
  • Represent the Usdan Complex in interactions with the University community, outside clients, and various departments to ensure a vibrant community space that supports high client satisfaction across thousands of bookings annually. Anticipate possible conflicts or areas of concern, and address proactively. Respond to unanticipated client issues as they arise and resolve whenever possible.
  • Ensure all event needs are met by facilitating events setups and onsite support.
  • Liaise with other departments across Auxiliary Services (Cardinal Tech, WesStation, Bon Appetite, Reservations & Conferences, WesCard Office, and Student Involvement) to identify functional areas of overlap and coordinate efforts to maximize efficiency and improve customer experience.
  • Oversee the personnel management (recruiting, hiring, training, scheduling, documenting, and evaluating) and payroll for student area of supervision (Usdan Student Staff). Manage student access to various systems including secure electronic key box, door systems, payroll, MS Teams, Voxer, and EMS Desktop.
  • Plan, coordinate, and implement yearly student personnel timeline, including professional development program, training, and social activities. Set and uphold performance expectations across staff.
  • Identify, track, and coordinate resolution of maintenance and housekeeping needs. Communicate regularly with physical plant and custodial services ( SMG ) to ensure completion of work. Identify necessary large-scale maintenance projects and work in conjunction with the Associate Director to propose and advocate for their completion.
  • Recommend policies and operating procedures for housekeeping, event production, facility management, and other areas of direct responsibility.
  • Oversee the layout, set-up, and storage of furniture (i.e., tables, chairs, stage, podium, etc.). Assess facility use and campus needs to reconfigure spaces as needed to best meet the current need.
  • Track inventory quantities, locations, and conditions. Pursue repairs and regular cleaning as needed or advise the Associate Director on any replacement needs.
  • Prepare facility use, staffing, revenue, and inventory reports.
  • Oversee monthly inspections of AV equipment.
  • Perform other duties as assigned.

On-campus work schedule with evening and weekend work required to support evening and weekend events, as well as serving in an on-call rotation for emergencies.
Minimum Qualifications
Bachelor’s degree and a minimum of 4 years of related experience managing a high use facility or an equivalent combination of education and training .

Prior experience identifying and addressing facility maintenance and upkeep needs, as well as tracking and managing inventory.

Familiarity with basic AV systems and troubleshooting.

Prior experience assisting with event logistics and providing onsite event support in high stress situations.

Proven ability working with and motivating part-time staff.

Demonstrated ability to work independently and make autonomous decisions.

Demonstrated ability to set priorities, take initiative and manage multiple duties with minimal supervision.

Ability to work effectively and flexibly with faculty, staff, students, and external clients in a fast-paced environment.

Ability to stand for extended amounts of time and lift 40+ lbs with or without reasonable accommodation.

Proficiency in Office 365, including Teams and Sharepoint.

Demonstrated customer service orientation.

Availability to work a flexible schedule including evenings and weekends.

Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Preferred Qualifications
Previous related experience in a university center or student union. Familiarity with EMS Scheduling software. Proficiency in Power Automate.
