A.T. Still University's Arizona School of Dentistry & Oral Health (ATSU-ASDOH) is seeking a non-exempt Operations Assistant on the Mesa, Arizona campus. This position reports to the Director, Integrated Community Service Partnerships (ICSP) & Continuing Education (CE). The Operations Assistant is responsible for support of the day-to-day activities for ASDOH ICSP and for administrative support as needed to ASDOH CE.
Major Job Duties:
- Scanning, emailing, data entry, reconciling assistance with budgetary items. Also will assist with data entry for preceptor records as needed
- Support for administrative needs including checking in of supplies, data entry, filing, copying scanning of materials
- Create and track meeting notes for ICSP and CE meetings
- Track and document immunization records for D1-D4 years. Including follow up and communications with students regarding immunizations
- Annual set up and tracking of OSHA HIPAA BBP and COVID training. Document dates in student records
- Vice Dean – log in/out of skulls for Head and Neck course, provide administrative support to the Vice Dean during teaching time/work with student worker to assist in this process
- Travel – coordinate all travel for ICSP, including but not Limited to Scheduling, confirmation, and travel requests and reimbursements
- Any other activities/support requested or assigned by Director of ICSP & CE
- Obtains all ICSP Clearance sheets for student rotations from CCU directors and uploads to student folders prior to all rotations
- Assist with CE activities which includes but is not limited to
helping coordinate events (room reservations/zoom meetings),
Emailing meeting notices, tracking attendance, assist in preparation and emailing CE certificates and saving them to the Google folder
- High school plus one year technical training or schooling
- 2-3 years of experience with computer entry, data management using spreadsheets, budget preparation/monitoring, and general accounting experience
- Experience in a University or Health Care professional institution is helpful
- Strong attention to detail and ability to work under pressure
- Must have excellent computer skills with good working knowledge of Microsoft Office
- Must be extremely detailed oriented, time line sensitive, and ability to work on multiple tasks from multiple individuals
- This person should be a team player, willing to work closely with others, of even temperament and especially be willing to treat students, staff and faculty in a collegial manner
- Must be flexible, a self-starter, and have a positive attitude
- Must be able to manage work load from multiple areas position will support
