Administrative Support Associate

Primary Purpose of Position:
The primary purpose of this position is to provide the department chair and faculty with essential administrative support. This position duties includes: Set up and maintain department files; complete, submit and track administrative forms; assist in managing the department budget; coordinate purchasing and maintain inventory of department supplies and equipment; handle routine office correspondence (mail, e-mail, and faxes) and distribute mail to faculty; answer telephone, handle requests or redirect calls to appropriate persons; supervise and manage work-study students and other temporary office support personnel; enter course information on internet Banner; maintain databases on department majors; assist faculty in administrative tasks associated with teaching; provide administrative support to faculty on proposals, grants, and contracts, including assistance with managing budgets; attend, take notes, and prepare minutes for faculty meetings; coordinate room assignments for teaching and room reservations for special events; track and submit community service hours for various department events.
Minimum Education/Experience:
High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Knowledge, Skills, and Abilities:
The successful candidate must possess a working knowledge of Banner Finance or an equivalent system; knowledge of Microsoft Office Suite (Microsoft Word, Excel and PowerPoint) Applications; knowledge of budget and office management; knowledge of record management; knowledge of assessing and evaluating programs; knowledge of writing reports; knowledge of planning special events and meetings; knowledge of professional protocol in communicating to a diverse population; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.
