Position Information

This is a full-time, permanent (probationary) position.

This position may require the incumbent to be on-call 24/7 to assist with systems maintenance and/or resolving emergency or urgent issues. The incumbent is required to maintain contact with their campus outside of their normal working hours on a regular basis per the applicable Collective Bargaining Agreement requirements. Remote contact shall include telephone, cell phone, wireless data access device, remote monitoring of any hardware or software device, and/or electronic mail notification regarding the status of a campus system.

Conditions of Employment

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Department: Process and Project Management

The Process and Project Management (PPM) department supports CSU, Dominguez Hill's strategic efforts by providing expertise, tools, technologies, and leadership in the areas of project and change management, communications and training, business process improvement, and digital transformation. The PPM department's primary responsibility is to manage and control project constraints by ensuring project plans are implemented on schedule, within scope, and budget. Project and Change Management resources, serve to connect teams, elevate planning efforts, and support organizational change and projects with clear pathways.

Major Duties

Under the general direction of the AVP, Process, and Project Management, the Project Coordinator is responsible for providing specialized project coordination support, from inception to completion, for a wide range of university business improvement projects. Responsibilities include working directly with key stakeholders to gather requirements, creating scope and charter documents; evaluating and managing project risk and impact; developing schedules and project plans; tracking project timeline, tasks, and milestones, and monitoring and effectively communicating with project team members and management. The incumbent works closely with project managers and/or project owners to ensure successful and on-time execution of projects by coordinating, allocating, and assigning resources, using project management tools and techniques to assign and follow up on tasks, and organizing ‘go-live' activities. The incumbent will work with diverse constituents to meet requirements and exceed expectations. They may assist or work directly as the liaison with vendors, contractors, the CSU Chancellor's Office, and outside agencies; and provide guidance to others in writing business processes to transition projects to operations. The position is key to the delivery of successful projects, initiatives, and services, ensuring the delivery is on time and within budget.

Qualifications

Required Education and Experience:

A bachelor's degree in Business Administration, Management Science, or related field from a four-year college or university or equivalent experience with at least eight (8) years of previously demonstrated experience planning, coordinating, and completing comprehensive projects or assignments.

Required Knowledge, Skills, and Abilities:

Knowledge
  • Demonstrated knowledge of, and ability to apply, industry-standard project management methodologies and best practices by effectively organizing and coordinating complex, high-stakes projects.
  • Knowledge of change management methodologies and best practices demonstrated by an ability to gain buy-in and lead groups through change.
  • Knowledge of training theory and practices demonstrated by an ability to develop and deliver technical training and user documentation.
  • Knowledge of project budget management and expense tracking best practices.
  • Knowledge of project-related documentation, including but not limited to scope documents, task lists, test scripts, issues tracking, business process guides, training materials and lessons learned (post project) reviews.
  • Experience creating, managing and executing communication plans
  • Demonstrated successful collaboration within a workgroup in a workplace environment

    Responsibilities

    55% Technical Project Coordination

    Responsible for all aspects of project management, from inception through completion, for a broad range of projects supporting the university mission and vision.

    Responsible for creating integrated plans that account for unplanned work, and that considers phasing large projects that would enable the university to get incremental value from project objective whenever feasible.

    Responsible for project planning tasks, including but not limited to: understanding project requirements and goals; creating work plans, timelines, and tasks; coordinating project meetings and guiding others to meet deadlines.

    Responsible for the coordination of project milestones, timelines and test plans and providing guidance to others of various levels.

    Coordinate logistics for effective delivery of services.

    Observe and evaluate activities being performed and ensure all deliverables are met.

    Project coordination includes accountability for project frameworks including setting and monitoring milestones, setting, and monitoring timelines, and writing test plan scripts and overseeing the testing throughout all project phases.

    Create presentations, messages, documentation, and electronic training materials to facilitate effective communication about processes and projects.

    Participate in CSU system-wide planning and project management activities as assigned

    Maintain awareness of campus and system-wide policy and industry standards relating to project and change management activities.

    Document milestones, timelines and test plans using the campus project management software.

    Provide guidance to others in writing documentation and business processes to transition projects to operations

    Ensure that the feedback from testing, staging, and deployments by real users is being used to re-plan.

    Coordinate and schedule meetings with project stakeholders, team members, subject matter experts, and vendors.

    Facilitate relationships with internal and external stakeholders and will use effective communication to ensure successful relationships and service delivery.

    Create project meeting agendas, moderate project meetings, and update action items, key decisions, and meeting notes.

    Monitor progress of stakeholders and team members tasks to keep projects on track.

    Conduct feasibility studies and document recommendations.

    Coordinate training schedules with end-users and trainers.

    Research new products and systems and make recommendations to leadership.

    Participate in needs assessments for compatibility with existing systems.

    Track systems lifecycle, keeping management informed on required upgrades.

    Track project budget keeping stakeholders informed of status in order to stay within project budget.

    30% Project and End-user Documentation

    Prepare scopes of work, project plans, project specifications, technical and operations procedures, technical tracking reports, forms, and end-user documentation for department and management review.

    Document all aspects of the projects including scope, milestones, time-lines, testing, training, and communication plans using the campus project management tracking software.

    Assist with writing documentation and business processes to transition projects to operations.

    10% Application Administration and Support

    Attend and participate in Division, department, and team meetings. Represent CSUDH at CSU Systemwide meetings related to Project Management and systemwide projects.

    Stay current with technology, project management methodologies, CSU and industry trends.

    Administer project management software application system.

    5% Other duties as assigned
