Xavier is seeking applications for the position of Administrative Assistant II to support two departments and two programs:

  1. The History Department
  2. The Race, Intersectionality, Gender and Sociology (RIGS) Department
  3. The Philosophy, Politics, and the Public (PPP) Honors Program
  4. The Economics, Sustainability and Society (ECOS) Program


These departments and programs are student-focused departments with dedicated faculty members. This position will provide administrative support for the chair and faculty members of both the History and RIGS departments along with the program directors for PPP and ECOS. The duties include onboarding new faculty, support for hiring searches, budget administration, purchasing, facility/space scheduling, faculty compensation support, and student worker management.

Required Qualifications and Experience:
  • Minimum 3 years of administrative experience
  • A demonstrated skill within Microsoft Office programs, including high proficiency with Excel
  • Experience managing budget data
  • Excellent written, oral, communication skills
  • Ability to master and organize details
  • Ability to work independently on multiple projects
Preferred Qualifications and Experience:
  • Associate’s or Bachelor’s degree
  • Experience in academic organizations
This position is 0.8 FTE (30 hours per week or 1,560 per year) and eligible for full-time employee benefits. It is possible to negotiate how those 1,560 annual working hours are spread over a year, for example 4 days weekly for 12 months or 5 days weekly during the academic year (approximately 10 months). The inclusion of some remote work (up to 1 day weekly during the academic year currently and more outside the academic year) is also negotiable.
