Who We Are

Medical Services staff understand and are committed to the unique health concerns of our student population, making us an unparalleled source of advocacy for student wellness! The Medical Clinic provides a wide range of health care services for students including: primary care for illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.

What Your Key Responsibilities Will Be

Executive-Level Support
  • Manage projects within Medical Services as well as campus partners across Health & Wellness services.
  • Coordinate complex calendars including setting up leadership-level meetings for multiple attendees, securing conference rooms, and organizing general calendar workflow and resolving priorities for calendaring, ensuring that all materials needed for appointments/meetings are ready and available in a timely fashion.
  • Provide logistical support including document preparation, Powerpoint presentations, excel spreadsheets, and meeting agendas and minutes that bring together relevant discussions and decision points as well as follow-up and action items. Disseminates minutes and maintains a distribution and record/filing system.
  • Anticipate the needs of the directors within MS including time management and prioritization, and respond to unanticipated events.
  • Manage special projects delegated by the leadership team.
Administrative Management
  • Lead professional communication including preparing, writing, formatting, and proofreading a wide variety of documents for MS and building-wide communication, including but not limited to the staff Weekly newsletter, urgent communication messages; MS and/or H&W policies and guidelines, MS organizational charts, meeting minutes/notes, forms, procedures, and building signage.
  • Develop material and maintain a Sharepoint page including links, calendars and content.
  • Act as a liaison for Medical Services communication, including coordinating communication priorities, drafting relevant content, scheduling meetings with collaborators, delegating projects to the clinical team, developing timelines and managing a follow-up system to ensure appropriate resolution of needs. Examples of projects include medical services website, video scripts, marketing themes for the month, and special projects.
  • Serve as parking liaison and partner with parking services for off-site event coordination.
  • Provide administrative support to coordinate the clinical Peer Review process twice yearly. This involves the creation, and dissemination of peer review documents, and once completed, compiling the data and distribution to the Directors.
  • Maintain and support the compilation of new personnel orientation (NPO) manuals for new staff and all onboarding checklists and documentation. Assists with new employee scheduling and integration and provides training for administrative functions.
Data & Assessment
  • Provide the Senior Director with data and financial analysis for operational, management, business development, budget preparation and strategic decisions.
  • Review data and prepare reports regarding clinic statistics, patient experience Qualtrics surveys, and additional data related to providers, appointments, and operations.
  • Data entry for multiple and complex timelines and action-due dates; monitoring and tracking of timelines using electronic systems and databases.
  • Partner with team members regarding Quality Improvement and compliance to provide standard reports, data dashboards in support of organizational goals and priorities.
  • Be responsible for patient surveys and feedback to ensure the efficiency of operations. Assists in practice benchmarking for each unique practice.

What We Can Offer
  • The salary range for this position is $52,000 - $61,800 annually.

What We Require
  • Bachelor’s degree or an equivalent combination of education and experience may substitute.
  • Experience providing executive-level administrative support to a high-functioning, high-level leadership team.
What You Will Need
  • Outstanding communication skills and customer service.
  • Demonstrated ability to work independently to manage multiple concurrent tasks and responsibilities, and to deal with changing priorities, while maintaining personal effectiveness.
  • Demonstrated proficiency in Microsoft Office programs.
  • Demonstrated ability to establish and maintain good working relationships with co-workers, supervisors, and the CU Boulder community.
What We Would Like You To Have
  • Experience with coordinating executive calendars/scheduling.
  • Experience with budget preparation.
  • Experience with one or more of the following: Zoom, Teams, Excel, Qualtrics, and/or Sharepoint.
  • Experience writing and editing a staff newsletter.
