Special Assistant to VP for Enrollment Management and Student Affairs



Job Summary:
Special Assistant to the Vice President for Enrollment Management and Student Affairs will cultivate a dynamic, experiential, and student-centered environment rooted in the Mission of Coppin State University that provides a model of excellence for student engagement and community building at the University. Responsible for assisting the Vice President for Enrollment Management and Students Affairs on projects and activities that support the vision, mission, and goals of the Enrollment Management and Student Affairs division. Responsibilities include administrative duties and special project assignments deemed appropriate by the Vice President. Balancing a mix of operational and strategic responsibilities, the SA anticipates, coordinates organizes, follows up, and may lead meetings, events, projects, and priorities in support of the Vice President for EM&SA’s efficiency and success.

Essential Responsibilities:
  • Assumes responsibility for special projects and ongoing programs within the Division of Enrollment Management and Student Affairs and provides direct assistance to the Vice President for Enrollment Management and Student Affairs ( VPEM &SA) and the Enrollment Management and Student Affairs Leadership Team, as needed
  • Oversees management of VPEM &SA calendar and schedules meetings/appointments
  • Provides initial intake of public, parent, and student concerns and grievances
  • Researches, collects, and evaluates information and determines appropriate action according to established policies and procedures
  • Plans, monitors, and manages budgets and financial matters in the Office of the VPEM &SA
  • Prepares, processes, and reconciles financial transactions and associated paperwork for procurement cards, purchasing, and reimbursements
  • Manages VPEM &SA conference attendance
  • Monitors foundation and grant accounts; research and apply for grant opportunities
  • Assists with the management of brand strategy for the VPEM &SA office, ensuring a solid and consistent voice throughout all communications, including website and social media platforms
  • Researches and analyzes issues of current interest/need for annual reports, brochures, public relations materials, or presentations to VPEM &SA; prepares summaries and analyses of divisional and university reports
  • Manages the hiring, onboarding, training, scheduling, supervision, and evaluation of student digital media and office assistants
  • Provides logistical and administrative support for the university and divisional committees and meetings, including, divisional committees, search processes etc.
Required Qualifications

Education:
  • Master’s degree required, preferably in Higher Education Administration, College Student Personnel, or Student Affairs.
  • Doctorate preferred.
Experience:
Minimum of Five to eight years of related work experience with on-campus Enrollment Management or Student Affairs and leadership development in a University environment. Experience in implementing strategic initiatives and conducting analyses with demonstrated operational, organizational, communication, and project management skills.

  • Ability to work closely with and on behalf of the Vice President for EM&SA and other members of the Enrollment Management and Student Affairs and institutional leadership teams, as well as other institutional constituents; able to lead in a collaborative style by gathering input from stakeholders through active listening and respect of opinions; able to establish trust and facilitate complex discussions with varying opinions arriving at agreeable solutions/decisions.
  • Ability to communicate with all levels of the organization, present updates, and work with a wide range of individuals from various backgrounds and positions.
  • Lead diverse teams to support employers’ operational mission and vision by fostering an ethical, inclusive, and collegial work environment.

Preferred Qualifications

Conditions of Employment

Maintain regular attendance and closely follows office reporting policies and procedures. The Special Assistant must be flexible in terms of working after normal work hours on occasions when the job tasks require; travel as needed.
