Brief Description of Duties:

Responsible for the input of prospective student data information, data integrity, and order management of a high-volume of student records for the Offices of Undergraduate and Graduate Admissions that is transmitted to the Office of the University Registrar. Accountable for performing quality assurance activities on document database to ensure accuracy and completeness via auditing of database to ensure appropriate use of data.

Essential Duties and Responsibilities:

Reporting to the Document Manager, the Information Processor serves as the link between paper information and computer data.

Specifically, the Information Processor:
  • Processes applications for all prospective students
  • Reads information for accuracy, make corrections if necessary, enter the data and store the hard copies and electronic data in the proper place
  • Enters data into our student tracking system as well as updating and maintaining all student information in appropriate databases
  • Enters data by inputting alphabetic and numeric information on keyboard according to data standards
  • Load electronic applications in Student Information System (Suspense Files)
  • Maintains assigned student cohort and or alpha portion of records, correcting and troubleshooting information when necessary
  • Inputs and updates student information in order to carry out the communication flow to applicants in an accurate manner
  • Maintains data entry requirements by following data program techniques and procedures
  • Works closely with the admission counselors, providing administrative support concerning the status of the applicant files
  • Collaborates with internal stakeholders concerning student admission records
  • Audit files for quality control checkpoints for accurate student files
  • Responsible for opening and processing postal and electronic mail
  • Digital Imaging (scanning) and Indexing of student records is required
  • Maintains operations by following policies and procedures; reporting needed changes
  • Maintains customer confidence and protects operations by keeping information confidential
  • Accountable for submission of daily reports
  • Provide basic training as needed
  • Contributes to team effort by accomplishing related results as needed
Other Duties:

Temporary duties and special projects as assigned by Document Manager in supporting the overall enrollment goals and the mission and vision of the University.

Minimum Job Requirements:
  • 1 - 2 years job related experience;
  • High School diploma required;
  • Experience with Student Information Systems
  • Must have experience with a variety of software programs including, but not limited to, Excel, PowerPoint, and other applications and technology;
  • High energy, attention to detail, and the ability to remain organized;
  • Ability to focus, prioritize, and multi-task in a fast-paced work environment;

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation. The determination of a 'satisfactory background investigation' is made at the sole discretion of the University of the District of Columbia. The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
