Assistant Director, Advancement Event Operations

Position Details
The Office of Advancement builds lifelong relationships with alumni, parents, and friends, and engages them in support of Wesleyan’s educational mission and financial goals. Wesleyan University is currently in the quiet/leadership phase of a comprehensive fundraising campaign.

The Advancement team fosters pride in the Wesleyan community and develops support for university initiatives through outreach activities, including development/fundraising, alumni & parent relations, and both on- and off-campus events.

Reporting to the Associate Director of Event Operations, the Project Coordinator is a key member of the Alumni and Parent Relations team that engages Wesleyan’s alumni and parent community through a comprehensive set of programs; volunteer and recognition opportunities; affinity groups and networks; and regional, on-campus and virtual events, including Reunion & Commencement Weekend, Homecoming/Family Weekend, presidential and campaign events, and educational programming to build and sustain connections to Wesleyan in support of its fundraising efforts.

Responsibilities include:
  • Support the implementation of event operations protocols for all Alumni and Parent Relations-related events and Non- APR Advancement events:
    • Utilize key technology platforms (eg. Affiniquist/ SFMC , Linvio, EMS , Alumni Directory, Qualtrics, etc) to manage event implementation and provide support for departmental and divisional events.
    • Actively monitor projects for APR team to ensure key deadlines and other key metrics are met.
    • Staff a range of in-person on campus and regionally, as well as virtual events.
    • Track and monitor budgets and collaborate with Advancement Operations team in post-event reconciliations.
    • Serve as event implementor as needed, including those that require limited logistical support, such as athletics and volunteer-driven events.
  • In collaboration with Wesleyan Fund manage assigned reunion classes and/or student class affinity projects to create a comprehensive reunion engagement plan that leverages Reunion & Commencement Weekend as a capstone to a full cycle of interactions and activities designed to build strong ties among classmates.
  • Support Associate Director, Events Operations in implementing the Commencement Ceremony.
  • Train and supervise student interns as required.
  • Travel as needed to support events, meet with individual constituents as appropriate, and represent the university within the alumni and parent community.
  • Other duties as assigned.

Minimum Qualifications
Bachelor’s degree 2 years (professional or student) experience of direct or related experience in facilitating events, programming, or other related work or an equivalent combination of education, training, and experience.

Proven ability to set measurable goals, develop strategies to reach goals, and adhere to timelines.
Experience working in a team to achieve shared goals, negotiate and build consensus with others.

Experience working with technology platforms ensuring data integrity.
Demonstrated ability to learn and use new technology.
Ability to articulate technical and process needs to others.
Demonstrated ability to analyze and recommend process improvement
Demonstrated ability to be flexible and capable of managing multiple projects simultaneously while working with varied personalities and work styles.
Excellent communication skills and organizational skills, with great attention to detail.
Proven ability to engage and interact effectively with diverse constituents, build effective relationships and serve as an ambassador.
Expertise in MS Word, Excel, Outlook and PowerPoint.
Ability to work weekends, holidays and evenings for event implementation
Ability to travel as needed to support events, meet with individual constituents as appropriate, and represent the university within the alumni and parent community.
Valid driver’s license or ability to obtain one
Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Preferred Qualifications
Experience in a fundraising environment
