  • 3-5 years of experience in student housing or student services in a higher education setting
Additional Qualifications and Skills

Master's degree preferred. Strong skill sets in the following areas are required: written and oral communication, planning and organization, budget management, policy development, ability to work collaboratively with a variety of constituents, managing change, and establishing priorities and meeting deadlines. Knowledge of Microsoft Office and general familiarity with website maintenance are strongly preferred.

The Houses serve as the foundation for the undergraduate experience at Harvard College. Ninety-seven percent of all undergraduates live in one of the twelve residential Houses. Each House accommodates 350-500 students with its own dining hall, common rooms, and facilities for academic, recreational, and cultural activities.

Led by the Faculty Deans the central goal of the House is forging a link between learning and living, the House system cultivates a range of intellectual activities and traditions. In addition to lectures and seminars, each House hosts a collection of weekly language and interest tables which are informal opportunities for students with common interest to meet, exchange ideas and learn or fine-tune particular skills. Houses are places where learning occurs all the time, whether in the dining hall as students share a meal with instructors and visiting scholars, or in House tutorials or seminars taken for degree credit.

The life of the House extends beyond the intellectual. The Houses maintain robust cultural and social opportunities. Houses are home to their own film, music, art and drama that range from small-scale jam sessions to a full opera. In addition, Houses also field a variety of sports teams that compete in an intramural program. A variety of social functions such as Faculty Deans' Open Houses, a very active Senior Common Room formal dances and coffee hours provide students an opportunity to relax and interact with members of their House community.

Each House is overseen by the Faculty Deans. The House Administrator reports directly to the Faculty Deans. In addition to supervision from the Faculty Deans, the House Administrator has a dotted reporting line to the Associate Dean of Students for financial and housing responsibilities and to the Allston Burr Resident Dean for Tutor training programs and student welfare and safety issues. The Faculty Deans are responsible for overseeing and coordinating the work of all House staff and affiliates in order to effectively create an enriching House community.

Given the nature of a House community and responsibilities of the House Administrator position, House Administrators must work collaboratively with a variety of administrators, including critical partnerships with the Allston Burr Resident Dean, Academic Coordinator, Building Manager, and Dining Hall Manager. House Administrators must be flexible and able to periodically work evenings and weekends.

Position Description

Budget: Responsible for financial processing, reconciliation, reporting, and strategic planning on unrestricted and restricted accounts; Collaborate with the Office of Student Life to ensure compliance with all University and College financial policies and procedures; Advise the Faculty Deans on all financial matters related to the House.

House Office: Manage the administrative responsibilities of the House Office on behalf of the Faculty Deans and provide administrative support to the Faculty Deans; Hire and supervise student workers; Oversee the use of House common spaces, including room reservations; Serves as a key player in the annual tutor recruitment process; Create and maintain office files and records; Work with the Faculty Deans to maintain the House calendar; Oversee the design and day-to-day management of the House website; Create the House Newsletter and Facebook; Respond to a variety of inquiries from students, Senior Common Room members, parents, alumni/ae, and administrators; Regularly communicate with the House community and related populations, serving as the primary contact for all House-related matters.

Event Management: Support the Faculty Deans to plan, implement, and manage a variety of House events for students, faculty, administrators, and alumni; Supervise Faculty Deans' Aides and student workers in coordinating such events; Provide periodic evening and weekend event management support; provide logistical and financial management support and training to House Committees.

Housing: Develop, implement, and evaluate the House-based suite lottery policies and procedures for student housing assignments; Oversees the housing assignments for Tutors and Resident Scholars, and collaborates with the Office of Student Life to ensure compliance with all University and College housing policies and procedures; Maintain all data for students and residential staff in the Housing Information Management System; Mediate roommate/suitemate disputes.

Training Programs: Collaborate with the Faculty Deans and Resident Dean, to ensure effective development, implementation, and evaluation of Tutor training programs and to create and maintain a Resident Tutor Manual. Assist the Faculty Deans in coordinating the Specialty Tutor program (e.g., race relations, health and wellness, sexual assault and sexual harassment, BGLTQ, and public service).
