POSITION OBJECTIVE

 

The Manager of Graduate Education will be responsible for all student centric administrative functions for the Department of Physiology and Biophysics Master of Science in Medical Physiology (MSMP), Tech Master's MS program, and PhD program. This position must work closely with the Director, Administrative Director, and Admissions Director of the MSMP and the director of the PhD program. The manager serves as the primary point of contact for all current, former, and prospective graduate students and for education-related staff at Case Western Reserve University. The manager is in charge of maintaining all applicant and student records. This position will also serve on the Graduate Education Committee within the department.

 

 

 

ESSENTIAL FUNCTIONS

 

  1. Manage issues related to the department of Physiology and Biophysics PhD students including progress through the program. Manage student course registration and assure compliance with program and university requirements. Oversee coordination of student needs with International Studies, Graduate Studies, the Registrar, Biomedical Sciences Training Program (BSTP) and Medical Scientist Training Program (MSTP) offices. Work with the department Business Manager on student funding, and with the Graduate Education Committee to monitor student progress. Engage students to arrange for advancement to candidacy and defense. Develop professional programming for PhD students. Process payroll and memos of assistance for all graduate students after verifying with the department business manager that funds are available from identified sources. (30%) Manage and maintain the student database. Run daily admissions imports as well as daily student letter requests. Import student data from the Registrar at the start and end of every term. Create numeric grade and comprehensive exam import. (25%) Serve on the Graduate Education Committee and Medical Physiology Administrative Committee. Take minutes and document action items. Assist in planning department and student retreats. (15%) Manage student progress through the programs. Oversee student course registration and assure compliance with program and university requirements. Manage student needs with International Studies, Graduate Studies, Financial Aid, and the Registrar. Ensure the timely submission of all student paperwork. Serve as the liaison to Graduate Studies, Student Affairs, Financial Aid, the International Student Office, and attend all related training and information sessions. Facilitate course evaluation process including compilation and dissemination of results. (15%) Serve as the facilities manager for all department classrooms, conference rooms, and audio/visual equipment and technology. Coordinate with UTech and Mediavision as needed. (10%)

 

 

NONESSENTIAL FUNCTIONS

 

  1. Perform other duties as assigned. (5%) Maintain an understanding of the department of Physiology and Biophysics goals and functions. (<1%)

 

 

CONTACTS

 

Department: Frequent contact with the program director, director of admissions, administrative committee, teaching faculty, teaching assistants, and administrative staff to maintain workflow.

 

University: Regular contact with Graduate Studies, the Registrar, Financial Aid, International Studies, Office of Accommodations and Testing, University Health Services, Access Services, Student Employment, School of Medicine Facilities Office, the School of Medicine Graduate Studies, Mediavision, and U-Tech to exchange information.

 

External: Frequent contact with applicants and their families to exchange information. Occasional contact with Slate, Canvas and Examsoft for technical support. Occasional contact with caterers and vendors for off-site programming and retreats.

 

Students: Regular contact with students, teaching assistants, and alumni to exchange information.
 

 

SUPERVISORY RESPONSIBILITY

 

None.

 

 

 

QUALIFICATIONS

 

Experience: 3 to 5 years of progressive administrative and program management experience required. Prior experience working with students or in an academic environment preferred.

 

Education: Bachelor’s degree required. Master’s degree in related field preferred.

 

 

 

REQUIRED SKILLS

 

  1. Ability to work effectively independently and collaboratively within a team. Must be highly motivated, responsible, dependable, and a self-starter. Ability to work with sensitive information and maintain confidentiality. Excellent oral and written communication skills and interpersonal skills; must demonstrate the ability to effectively and professionally communicate and work with various individuals within the department, university, and with individuals outside the university. Ability to interact with colleagues, supervisors and customers face to face. Effective problem solving skills; must demonstrate excellent analytical skills, sound judgment and good decision-making. Must demonstrate flexibility and ability to work under pressure, must be able and willing to conform to shifting priorities, demands and timelines. Proficiency in Microsoft Office and Google Docs and ability to learn new programs, database management experience preferred. Prior experience with student information system (SIS) and admissions systems preferred. Ability to meet consistent attendance.

 

 

WORKING CONDITIONS
