Job Summary:

The UW-Madison Wisconsin IceCube Particle Astrophysics Center (WIPAC) performs world-class science that explores the high energy universe. The ideal candidate would apply their strong attention to detail and good communication skills to contribute to the success of WIPAC while enjoying a job with diverse responsibilities.

This position provides administrative support to WIPAC faculty, professional staff, students, and visitors from around the world. The job duties include assistance with domestic and foreign travel plans, travel reimbursement, scheduling of meetings, reservations of rooms, and taking meeting minutes and other general administrative tasks as assigned.

Responsibilities:

Provides administrative support for a department, group of professionals, or the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision
  • 35% Handles logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 25% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication channels, and routes more complex inquiries to the appropriate entities.
  • 20% Collects, analyzes, and prepares various communication materials from established sources utilizing standard technology.
  • 10% Sends, receives, copies, and distributes communications to appropriate entities according to established policies and procedures under general supervision.
  • 5% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.
  • 5% Provides back-up job duties to front desk student worker.

Qualifications:

Required:
- Strong interpersonal skills, including the ability to establish and maintain positive professional relationships across diverse populations.

- Excellent organizational skills and the ability to contribute to multiple concurrent projects in a fast-paced environment.

- Ability to work independently, as well as function effectively in a team and with students, staff and faculty.

- Proficiency with Microsoft Office tools and Google suite applications and an ability and desire to learn new tools as needed.

Preferred:
- Experience with meeting management and with event and conference planning.
