Job Summary

The Student Services & Curriculum Coordinator supports the mission of the Department of Civil, Environmental & Architectural Engineering (CEAE) by providing support to faculty and students. This position supports the Civil Engineering and Architectural Engineering undergraduate student experience by assisting with enrollment, coordinating faculty mentoring, maintains academic documents, offers support for student events, and serve as an initial contact for prospective students. This position also works alongside faculty and academic advising staff to manage course offerings and room assignments. This position will provide support to the Coordinator of Office Operations as needed.

What Your Key Responsibilities Will Be

Academic Scheduling & Curriculum Coordination
  • Attends campus, college, and department meetings concerning academic scheduling and course registration.
  • Reviews and cleans up rollover courses for each term.
  • Reviews, adjusts, and makes sure that sections being offered are correct.
  • Works with faculty and advising team to project enrollment and set class sizes accordingly.
  • Consults with Academic Scheduling regarding room assignments and works with other offices to secure department-controlled instructional spaces as needed.
  • Manages wait lists and reserve capacity lists when appropriate, including but not limited to, reshuffling of wait lists and maintaining artificial caps on classes.
  • Works with advising team to reserve seats for newly admitted Inter-University Transfer (IUT) or transfer students.
  • Enrolls non-major students in courses as requested and as availability permits.
  • Responds to change requests throughout the year. These requests can include: additions, cancellations, time changes, room changes, and faculty changes.
  • For summer courses, communicates with CEAS Summer Session Dean to confirm if a course may be offered.
  • Maintains the integrity and accuracy of the department’s course inventory in the Course Inventory Management (CIM) system.
  • Tracks new course proposals through the approval process.
  • Works with faculty, Undergraduate Curriculum Committee, and Graduate Programs and Students Committee to annually review and update course inventory in CIM for the University course catalog. Makes appropriate changes in CIM by catalog review due dates set by the Registrar’s Office.
  • Manages course revision and course proposal processes, working with the departmental Curriculum Committee and/or designated faculty member.
  • Maintains the correct requisites in Campus Solutions by using the CIM system whenever there is a requisite update.
  • Builds out courses in Campus Solutions for summer, fall, and spring terms according to Academic Scheduling timelines.
  • Serves as Faculty Course Questionnaire (FCQ) coordinator by ensuring courses are listed for evaluation and save completed evaluations to shared drive after each semester.
  • Maintains collection of syllabi in shared drive by requesting from faculty each semester.
  • Gathers information pertaining to special topics courses to be uploaded to the department website.
Undergraduate Student Services
  • Serves as initial contact for prospective undergraduate students to determine specific needs and refer to appropriate contacts as needed.
  • Coordinates undergraduate student recruitment events and initiatives, including contacting admitted students, planning and coordinating admitted students day, and working with College of Engineering & Applied Science (CEAS) Admissions Team to highlight CEAE programs.
  • Handles requests from students outside AREN and CVEN to enroll in AREN and CVEN classes.
  • Checks that students in AREN and CVEN classes meet requisite requirements and associated follow-up (contacting students, communicating with advisors, dropping students as needed, etc.).
  • Assists with updating academic documents, such as block diagrams and guidelines, in conjunction with advisors and undergraduate curriculum committee.
  • Tracks career events and scholarships for students and coordinates with the Communications staff to ensure they are recognized on the website and emails.
  • Coordinates CEAE faculty mentoring for undergraduate students, including making mentor assignments, communicating with faculty and students, and tracking completion of mentoring requirements.
  • Coordinates CEAE peer mentoring program, including recruiting and training mentors, recruiting participants, matching mentor/mentee groups, and planning events.
  • Works with academic advisors and faculty to research and develop study abroad opportunities for CEAE students.
  • Attends department Undergraduate Student Pathways meetings, organizes undergraduate student community building events, and participates in student retention initiatives.
  • Works with faculty and advising team to make updates to the CEAE undergraduate catalog.
Other Student Services Support
  • Assists with documentation needed for ABET accreditation.
  • Coordinates student support for courses, including Teaching Assistants (TAs) and graders. Maintains a list of TA qualifications, assigns TAs to courses with review by faculty leadership.
  • Works with faculty and graduate program staff to make updates to CEAE graduate catalog for the next academic year.
What You Should Know

This position will be a hybrid role with at least 2 days required on-campus per week.

This position is a a 75% part-time appointment (30 hours per week). We can be flexible and accommodate the selected employee's schedule. We are looking to cover the University's core working hours of 10:00am - 3:00pm.

What We Can Offer

The starting salary is $34,500 - $41,250. Relocation assistance is available within CEAS guidelines.

What We Require
  • Four years of related experience or a Bachelor's degree. Equivalent combination of education and experience may substitute.
What You Will Need

  • General understanding of the rules and regulations that drive university processes.
  • Excellent interpersonal skills, including written and verbal.

What We Would Like You To Have
  • Work experience in higher education.
  • Experience working with engineering students and faculty in a higher education environment.
  • Experience using CU Business Applications, such as CU Student Information System, Grad Slate and EMS Room Scheduling System.
  • Knowledge of academic scheduling basics, including a foundational understanding of requisites, degree requirements, course components, etc.
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.
