Summary/Objective

The Performance and Administrative Coordinator position supports the Talent Strategies function by performing administrative work related to performance management and other areas in the unit such as learning and development, onboarding, and communications. Duties include tracking and creating reports on performance management activity for unit leadership, and working with HRIS and others in HR to ensure performance forms are prepared and completed for each year. The incumbent may also be asked to troubleshoot system problems, work on tickets, and communicate activity reports to various constituencies, under the direction of the Sr. Director Talent Development or the Sr. Director, Talent Strategies. In addition, this role will also provide administrative support to the unit through helping to schedule training, assisting with LMS administration and maintenance, drafting communications for review, performing the financial tracking and coordination for the team (tracking invoices, working with purchasing, accounts payable, and HR Service Delivery to ensure payment, and assisting with tracking the unit budget). This role may also be asked to support training classes by assisting with virtual production support including monitoring chat function and assistance with application tools.

Essential Functions
  1. Using the performance management system, create reports to understand the status of completion for performance tasks. Maintain a spreadsheet/documentation of overall completion. Help compose updates and reminders to campus constituencies about their status or the program year. Tracks key performance indicators for the program for the Sr. Director, Talent Development and Sr. Director, Talent Strategies. Answer service tickets as needed and help troubleshoot (with HRIS, others) issues. Participate in preparing forms and calendars for the upcoming performance cycle. Assist with the administration and maintenance of the performance management system including yearly audits.
  2. Receive and track invoices, working with campus partners, vendors, and in-house HR budget managers to ensure payments are made accurately and on-time. Reconcile all p-card purchases on a weekly basis. Track expenditures and planned spending against department budgets. Follow all AU policies and ensure compliance.
  3. Provide administrative support to the Talent Strategies unit in all areas and programs, including learning and development, onboarding, offboarding, assessment, drafting communications, and updating the web pages. Tasks may include assisting with LMS administration and maintenance, creating virtuallinks, updating the master calendar, running reports on training and attendance, and supporting classes with virtual production and monitoring chat.
  4. Other duties as assigned.

Required Education and Experience
  • High school diploma or equivalent
  • Less than 1 year of relevant experience
Preferred Education and Experience
  • Associate's degree or equivalent
  • 1-3 years of relevant experience
