Brief Summary of Work for this Position

The Executive Assistant provides administrative and secretarial support to the Cameron School of Business Associate Dean of Graduate Programs, International Programs, and Swain Center and serves as the Associate Dean’s “Chief of Staff” with a focus on policy, program implementation, and facilitation. These responsibilities include, but are not limited to: coordinating the Associate Dean’s calendar, budget management, travel, planning and scheduling, assisting in meetings and other events, assisting in various human resources tasks, helping with commencement, preparing reports, processing travel requests and reimbursements. This position also coordinates facilities maintenance, repairs, and renovations, orders supplies and equipment, managing computer inventory.

The Executive Assistant represents the Associate Dean and the staff of graduate, international, and Swain Center programs and communicates with internal and external stakeholders, assists in public relations, coordinates external speakers, programs, and fund-raising activities, supervises student workers and graduate assistants, maintains contact lists, reconciles and executes signature authority for expenditures from various Cameron School of Business budgets. This position also establishes and maintains contact with other UNCW units outside the college such as Academic Affairs, Human Resources, Maintenance, other Deans and Department Chairs, and other universities, associations, the business community, students, and the general public. In addition, the Executive Assistant to the Associate Dean assists the Executive Assistant to the Dean of the Cameron School of Business as needed on projects and as backup in case of absence or heavy workload.

The position serves as the HR liaison for graduate, international, and executive program staff and requires a high degree of diplomacy and discretion to handle confidential and sensitive information. The position assists with onboarding staff and is expected to serve as a mentor and role model for appropriate performance, maintain the School’s standards of integrity, internal controls and sound business practice, and comply with University policy.

Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
