Summary


The Center for the Study of Tobacco Products (CSTP) in the Department of Psychology in the VCU College of Humanities and Sciences (CHS) invites applications for a Finance Technician position. This position supports the mission of VCU and the department by providing infrastructure to predict and process the administrative and fiscal needs of faculty, staff and students to further the quest to become a leader among national research universities providing high quality learning/learning experiences, attain distinction as a fully integrated urban, public research university and a national model for community engagement and regional impact. This position provides support to the CSTP in the Department of Psychology ensuring compliance with all state, federal, university, and CHS policies and procedures, and maintains the integrity of accounting records for all financial operations.

The Department of Psychology is an innovative unit in the VCU College of Humanities and Sciences (CHS) with a robust research portfolio and is a diverse department with over 50 faculty members from varying backgrounds. The department serves a student body of over 1,700 undergraduate students and over 120 graduate students.

Finance Technicians provide finance-related customer service and operational support typically to an academic school, department, or business unit. Their work content typically includes more than one functional areas such as accounting, budget, payroll, procurement, or treasury and may include more long-range assignments such as resource planning and forecasting. Their typical duties may include managing department and faculty purchase requests; assisting with travel arrangements and reports; managing all Banner financial transactions; analyzing expenditures; tracking faculty funding, including grants and contracts; reconciling and maintaining transaction records; and serving as Departmental Records Managers. They may work independently or as a member of a team. They work under general supervision, resolving most standard issues independently while referring complex or unique issues to a higher-level. Finance Technicians typically report to a supervisor or manager or in some areas may report to an administrator.

Job specific duties and responsibilities include, but are not limited to:
•Research supplies/equipment purchasing and travel procurement for CSTP grants, including reporting, overhead, and CSTP account management
•Petty cash custodian and University Purchasing Card (P-Card) holder

With guidance from the CSTP CO-PIs and Director of Administration and Finance, using their own knowledge, as well as various state, federal, and university procedures, this position solicits feedback and information from Procurement & Payment, Human Resources, and other university sources as needed, in order to carry out financial support responsibilities for the department. The incumbent will also seek input and guidance from department financial team members in carrying out duties listed above, and will interact frequently with internal and external customers using both verbal and written communication skills to discuss financial processes or issues.

Typical Duties
  • Provide fiscal administrative support by preparing and processing procurement and travel and expense reimbursements.
  • Submit purchase orders through VCU Real Source and create P-card purchases
  • Prepares and processes deposits from multiple revenue sources to multiple department entities.
  • Responds to and resolves issues regarding invoices, receiving, and other A/P related matters in a professional, courteous, timely, and accurate manner.
Job-Specific Education and Experience

Minimum Hiring Standards :
•High school diploma or GED and 0-3 years of relevant experience or equivalent combination of education, training, and experience
•Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
•Knowledge of state and university financial operations, policies, procedures, and systems.
•Training and experience with financial management and operations
•Direct experience with RealSource, or equivalent purchasing system.
•Proficiency in using spreadsheet software, Microsoft Excel, Google Suite, and Zoom.
•Demonstrated ability to work independently and prioritize and handle multiple, complex tasks simultaneously.
•Demonstrated ability to analyze financial data and produce summary reports, as needed.
•Sound verbal and written communication skills.
•Demonstrated ability to work in a team environment and work effectively with others, including students, faculty, staff, and external members of the community.
•Excellent customer service skills.

Preferred hiring standards :
•Bachelor’s degree
•Experience in a state/university or higher education setting.
•Direct experience with purchasing creation and Banner Receiving.
•Direct experience with use of and compliance with a University Purchasing Card (P-Card).
•Direct experience with Chrome River/Christopherson travel processing and current VCU travel policies and procedures.
•Direct experience with Banner Finance transactions entry.
•Experience working with student populations (undergrad and graduate).
•Experience with sponsored programs rules & regulations related to procurement highly desired.
