Goal of Unit

Position primary purpose and general responsibilities:
The Case Coordinator is part of the Civil Rights Investigations team in Equity and Access Services (EAS) and reports to the Director of Civil Rights Investigations. The purpose of this position is to support the compliance mandate of the office, which includes administrative investigations and resolution processes for all complaints of alleged discrimination and/or harassment at VCU. This includes alleged sexual misconduct under Title VII, including sexual assault and sexual harassment, involving employees, students and others protected under federal and state laws and regulations and/or VCU's policies. The case coordinator serves as the initial point of contact for all discrimination and harassment complaints and is responsible for all triage and intake meetings and initial case management.

The case coordinator works with reporting parties during Intake and follow-up to:
  • distill concerns into identifiable allegations of possible policy violations,
  • identify appropriate university resources for resolution of concerns or address other needs (e.g. mental health, work/life balance, or financial stressors),
  • refer issues that do not fall under the civil rights policies to appropriate university offices as part of case coordination efforts with key stakeholder offices.
For external federal and state investigations, the case coordinator is responsible for conducting document and information searches, providing support in organizing case files and preparing chronologies and correspondence.
The case coordinator, in close coordination with the director and investigators, will also assist in the delivery, maintenance, and tracking of civil rights training materials.

Duties:
80% - Case Management for Internal Complaints
Conduct intake and preliminary inquiries; triage, process and maintain cases in case management system; identify civil rights issues for EAS investigation and coordinate with partner offices to refer other matters; provide resource referrals to students and employees involved in intakes or investigations; draft case related summaries and correspondence; schedule and coordinate meetings; assist director and investigators with maintaining internal case data and metrics. Ensures internal case documentation is complete and case files are organized and stored properly.

5% - Support for External Investigations
Assist with timely response to external investigations and data requests, by coordinating with EAS team members and other offices to conduct file/document searches, collecting and assessing responsive information and data, preparing chronologies and correspondence, and drafting case summaries and other documents, as needed. Also ensures case documentation is complete and case files are organized.

15% - Training and Support for Other EAS and University Matters
Assist with prevention training through delivery, communications, and tracking completion. Create, curate and assist with outreach efforts about reporting and resources. Update and maintain database detailing development in federal and state civil rights legislation, case law and trends.

Minimum hiring standards:
  • The ability to sort through large amounts of information to spot issues that implicate possible policy violations, and identify an appropriate course of action.
  • The case coordinator must be able to express, in written and oral communications, complex concepts in a manner that is accessible to all parties, including students, faculty, and staff.
  • Significant experience providing administrative support to include competencies in planning and scheduling, preparing reports and compiling correspondence.
  • The case coordinator must be able to work independently, multi-task, evaluate priorities and adapt quickly to change.
  • This position requires the ability to exercise good judgment, take initiative and follow-through on tasks, and thrive in a fast-paced environment.
  • Other requirements of the position include: knowledge of electronic document/case management systems; ability to conduct interviews, prepare case chronologies/summaries; excellent oral and written communication skills; strong organizational skills and ability to attend to details; ability to develop and follow internal protocols; proficient in MS office computer software and standard office equipment and technology.
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
Preferred hiring standards:
  • Training or certification in a related field, including civil rights investigations training (e.g. SUNY SCI, ATIXA, etc.).
  • Graduation from an accredited college or university with a Bachelor's degree in a related field is preferred, or an equivalent combination of college and related experience. Knowledge of regulatory compliance processes, Title IX, and other civil rights laws (Title VII, Title VI, ADA, etc.).
Salary Range: $41,000 - 49,000
