Job Description Summary
Under general supervision of the Registrar, the Associate Registrar manages the office's daily administrative functions to ensure a high level of support and excellent customer service for Weitzman School of Design faculty, staff and students. The Associate Registrar serves as the Registrar in her/his/their absence and is responsible for managing course maintenance, classroom scheduling, course evaluations and CPT/OPT approvals for international students. In addition, the Associate Registrar maintains student records (electronic and paper), provides verification documents for current and former students, manages course fees and fines, joins the Registrar in representing Weitzman on school and University wide committees as needed, assists with training new employees on course and student policies, procedures and systems; and provides support for school-wide student programming by assisting with the annual New Student Orientation, Weitzman Alumni and Commencement Weekend events, and other Student-related events.

Job Description

Job Responsibilities
  • Play a key role in maintaining all Weitzman program and course offerings (in Curriculum Manager) roster term courses (in CLSS), and assist students with course registration processes, including but not limited to adds, drops, waivers, independent study requests, overload and part-time enrollment. Assist with workflow tasks that arise from new NGSS systems and processes. Provide information, support, and guidance to faculty, staff, administrators, and students on course registration, classroom requests, and records; identify issues/problems and seek solutions within the framework of established policies and procedures.
  • Work directly with the Office of the University Registrar to schedule classroom requests across Weitzman's buildings for course offerings, final examinations and special events and independently utilize classroom scheduling software as required. Work collaboratively with the Office of the University Registrar and Classroom Technology Services to ensure all requests are met within a timely manner following established policies and procedures. Independently resolve problems with room scheduling utilizing available resources and historical data. Maintain documentation for classroom scheduling process and implement improvements, where applicable.
  • Independent management of course evaluations for the Weitzman School of Design. This requires managing the eXplorance Blue software for an average of 275 courses each fall and spring term and 40 summer courses. This includes communicating University policies and procedures governing course evaluations to faculty, staff and students, providing data on response rates, and developing strategies to increase the response rate each term. Provides support to faculty, academic departments and faculty affairs on utilizing the course evaluation reports for promotion and tenure cases. In addition, serve as the Weitzman liaison to the University Course Evaluation Users Group.
  • Apply and adjust course fees and equipment fines within the framework of established policies and procedures. Produce enrollment and degree verification letters and related forms for current and former students.
  • Create, maintain and archive student files. Working directly with admissions and academic department staff to create student files, merge department and central files, archive student files, maintain archive file lists, maintain archive file documentation and implement process improvements, where applicable.
  • Provide a high level of administrative support to the Registrar and Enrollment Management team. This includes assisting with data requests and reporting, managing the school academic calendar and term-based work calendars, serving as the Registrar in his/her/their absence.
  • Oversee CPT and OPT tracking and approval for Weitzman international students.
  • Greet visitors as they enter the administrative suite. Order office supplies, manage Registrar communications such as website, email, and phone messages.
  • Coordinate the administration of Weitzman Graduation Awards, including maintaining award descriptions, printing award certificates, assisting with the program, and updating student records to reflect awards.
  • Train and provide guidance for staff on course and student policies and procedures and systems. This includes but is not limited to: Pennant (such as Pennant Records, Path@Penn, Courses@Penn, Advising@Penn, DegreeWorks), Course Evaluations, InfoSilem, Data Warehouse, and new systems as applicable.
  • Perform additional duties as assigned.


Qualifications
  • Bachelor's degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
