Job Description:

The Admissions Coordinator at the Levin College of Law serves as the primary support for the administrative functions of the Office of Admissions, which include processing applications to the College’s degree programs, database management, supporting recruiting efforts and admissions-related programming, and coordinating answers to applicant questions. The Coordinator operates the front desk and reception area of the office, serving as the first point of contact for visitors to the Admissions Office, answering a multi-line telephone, and responding to in-person and email inquiries. The Coordinator oversees the check-in of approximately 5,000 applications, alerts applicants when required materials are missing, and otherwise monitors data for accuracy.

The goal of these duties is to help recruit top students from across the nation and around the globe. The Coordinator must possess a high degree of self-direction and organizational skills due to the complexity of activities, the volume of work, and the fast-paced environment. Of critical importance is the ability to work positively and professionally with applicants, students, faculty, staff, and alumni. The long-term relationships that are cultivated from these interactions strengthen the entire law school community. The Coordinator must demonstrate superior judgment, act with considerable intelligence, and exhibit excellent customer service at all times. The Coordinator must also possess excellent data and technical skills and be self-directed in learning how to maximize the use of admissions databases.

Application Processing and Database Management
  • The Coordinator oversees the compilation, recording, verification, and dissemination of application data through the ACES database system. The Coordinator completes the check-in of approximately 5,000 applications, ensuring that all required application documents have been received and certifying that applications are complete and ready for review. The Coordinator monitors data for accuracy; maintains confidentially standards; assists with data exchange and reconciliation between UF Law and University systems; assists in the processing of seat deposits and application fees, including collecting checks/money orders and monitoring and updating the law school’s online payment database and student records with payment information; coordinates the application fee waiver process by maintaining a database of fee waived candidates; and assists with the preparation and consolidation of admitted applicant files for upload.
Communications and Administrative Support
  • The Coordinator operates the front desk and reception area of the office, serving as the first point of contact for visitors to the Admissions Office and assuming responsibility for the office’s primary telephone and email communication systems. The Coordinator creates and sends communications to applicants regarding their application materials, recruiting events, tours, and other admissions-related programs. The Coordinator also offers administrative support to the Assistant Dean of Admissions, Associate Director of Admissions, Associate Director for Operations, and Assistant Director of Admissions as needed. Under their supervision, the Coordinator interprets Admissions Office and University policies and procedures to ensure the integrity of the admissions process; follows law school policies to purchase office supplies and equipment; and recommends and implements improved office systems.
Support for Recruiting and Events
  • The Coordinator coordinates campus tours and class visits for applicants with cooperation from the Levin Ambassador volunteer program. The Coordinator also supports the Office for Admissions in developing events, programming, and other special projects as assigned. This includes assisting with the scheduling of digital and in-person recruitment events and tracking event attendance and other interactions with prospective students. In addition, the position coordinates applicant and recruiter travel arrangements, including but not limited to scheduling flights, making hotel reservations, registering for conferences, paying for travel arrangements using an assigned procurement card, and collecting and processing all travel receipts and information for payment and/or reimbursement.
Other Duties
  • The College of Law is rapidly changing and evolving. All staff members are expected to assist with other duties as needed, including duties throughout the entire law school campus.
Expected Salary:

$42,000 - $48,300 annually

Minimum Requirements:

Bachelor’s degree; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Knowledge of Microsoft Office Suite, particularly Excel.
  • Knowledge of the law school application process or other professional school application processes
  • Experience with ACES2 database, Adobe Acrobat, NERDC/COMPASS systems, and other computer programs
  • Experience working as a front-facing administrator in a busy office environment
  • Bilingual and/or experience working with international professionals or students
  • Superior organizational skills and ability to prioritize and complete multiple tasks under multiple deadlines
  • Attention to detail and excellent customer service skills
  • Excellent verbal and written skills
