Minimum salary is $62,000 per year with hiring salary commensurate with experiences and qualifications.

The OpenStax team works remotely. This position is hybrid and when working from the office, that location is near the Rice University campus in Houston, TX. Working hours are Monday - Friday 9 am - 5 pm central time. Additional working hours may be required outside those times as needed for events and meetings.

OpenStax is seeking to add a Senior Coordinator to the team to lead support efforts for the day to day operations of the organization. Additionally, this position will provide administrative support directly to the managing director.

Ideal candidates should have extensive skills and experience in planning, organization, and project coordination. They must work well in a team environment, be highly organized, and detail-oriented. They should be skilled at prioritizing and juggling competing work tasks and should have the ability to think on their feet and respond quickly in a changing, fast-paced environment.

Essential Functions
  • Leads strategic planning and analysis for a division, complex department or programs with significant business, regulatory and/or technical challenges requiring subject matter expertise
  • Independently manages the administration and evaluation of functions or programs
  • Reviews and distributes operational and financial reports and schedules to ensure accuracy and efficiency
  • Sets goals and deadlines for the department
  • Serves as an advisor to leadership on administrative matters
  • Manages division budgets, human resource and facilities functions
  • Oversees the interpretation, implementation and compliance with policies and regulations
  • Recommends actions and resolve complex issues that often span organizational boundaries
  • Manages outreach strategies that may include relationship development, communications, and compliance
  • Performs all other duties as assigned
Additional Functions
  • Collaborate with faculty and staff across the organization and partner organizations to effectively plan and implement OpenStax programming
  • Oversees administrative aspects within OpenStax including light office management, and complex travel arrangements and scheduling for the managing director
  • Establish and maintain event records including recordings, minutes, attendance, presentations, notes, and action items
  • Coordinate speaker invitations, conference room reservations, and A/V needs for large events shared with external attendees
  • Leads special and exploratory projects in partnership with the managing director, providing tactical support to implement ideas
  • Assists in the development of organizational internal communications
  • Collaborate with executive team members to determine and prioritize business strategies
  • Planning, coordinating, and keeping contents of a meeting focused
  • Working with leadership to deliver, monitor and communicate progress towards goals
  • Providing managing director and other senior leaders with insight and analysis on the company’s operations
Required Qualifications
  • Bachelor’s Degree
    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • 5 years of experience in executive support, program management, or other related fields

  • Demonstrated leadership skills with the ability to influence and motivate constituencies which might span multiple organizational boundaries
  • Excellent planning, organizational and analytical skills
  • Demonstrated ability to make sound business decisions using good business judgment and innovative and creative problem-solving
  • Demonstrated ability to manage financial, organizational, and staff resources
  • Excellent interpersonal and communications skills with the ability to cultivate professional and business partnerships
  • Strong knowledge of relevant subject matter
Preferred Qualifications
  • Masters Degree
  • Experience and a genuine interest in researching public policy
  • Experience writing briefings, reports, and speeches
