Basic Qualifications
  • 3+ years in an administrative and/or facilities support position.
  • Familiarity with building systems required.
  • Familiarity with building trades, construction methods and materials, HVAC systems, mechanical, electrical, and plumbing (MEP) systems, repairs and maintenance required.
Additional Qualifications and Skills

College background preferred.
Proficiency with Siemens Apogee and CCure.
Proficiency with Windows, Microsoft Word, Excel, and Outlook.
Strong written and oral communication skills.
Has the capacity to manage, prioritize, and respond to emails in a timely and concise manner.
Possesses the ability to make sound and immediate decisions when dealing with stressful situations.
Must be highly organized, display initiative, and follow through on assigned time-sensitive tasks and commitments. Must have the ability to work as part of a team on a variety of projects.

Facilities

Position Description
  • Acts as office manager for facilities operations.
  • Generates work orders as necessary.
  • Assist in creating and maintaining building database.
  • Maintains office calendar and other calendars as needed.
  • Conducts biweekly walk-throughs of 8 buildings checking on physical conditions and supplies and reporting anything in need of attention.
  • Maintains building key lists and distributes keys as necessary.
  • Assists in onboarding and offboarding new employees and ensures offices are clean and ready, keys set aside, and appropriate clearances provided.
  • Orders department and building materials, processes all invoices, and maintains associated purchasing files.
  • Interacts daily with building occupants, responding to occupant building problems/requests promptly and resolving them quickly.
  • Provides direction for day-to-day activities of building trades and contractors to assure timely and cost-effective completion of work. Coordinates with Facilities Maintenance Operations (FMO) and other vendors for electrical, plumbing, and HVAC work.
  • Coordinates with contractors and vendors for repairs and projects.
  • Works directly with custodial staff, Crew Chiefs and Security.
  • Assists with lockouts.
  • Acts as security liaison. Monitor all security reports. Manage card access requests. Program all doors for after-hours events.
  • Works closely with Building Manager, the Office of Planning and Physical Resources (OPRP), and the Harvard University Office for Sustainability staff to implement best operations and maintenance practices, and to actively participate in FAS greenhouse gas and energy reeducation efforts and goals.
  • Helps with managing the organization and logistics of move-in and move-out for summer school, commencement, and special events which requires occasional overtime and weekend work.
  • Helps coordinate and manage internal staff moves with custodial services, movers, and IT.
  • Performs other related tasks as required.

Working Conditions

This position is part desk work and part walking buildings and grounds, checking in with staff in their offices and supporting off-site special events and programming.
