Job Description:

Reporting to the Associate Director of Student Involvement (the SGA's Advisor) and the Associate Director of Student Involvement for Leadership ( the RSO Coordinator), the coordinating assistant is also responsible for administrative and logistical support for student groups including all three branches of the SGA and the Recognized Student Organizations (RSOs) with budgeting, calendar communications, and technical support through the College's student engagement platform through Campus Groups known as myHC.

The program coordinator must have strong project management skills; be able to work independently and in a team; and have strong interpersonal and communication skills.

Major Areas of Responsibility

Budgets and Fiscal Responsibility
  • Manage vendor reservations and coordinate payments
  • Update and prepare SGA budget reports for monthly reconciliation
  • Process and maintain paperwork related to purchases, budget and travel related to SGA and RSOs
  • Manage RSOs fundraising approval process through the myHC platform
  • Assist SGA and RSO's with event ticketing process through the myHC platform, including funds transfer from Campus Groups/Touch Net to the RSO account




Communication


  • Work during regular business hours by receiving and answering phone calls and emails
  • Update the SGA Digital Signage
  • Maintain SGA/RSO websites and email accounts
  • Manage RSO club and organization communications and calendar of events through the myHC platform.
  • Maintain updated RSO Recognition and re-recognition processes on the myHC platform
  • Update College and OSI policies as stated in the RSO manual on the myHC platform


Events and Programs
  • Coordinate logistics for the fall and Winter SGA Retreats
  • Coordinate logistics for Fall and Spring RSO training
  • Coordinate logistics for RSO faculty advisor on-boarding and training
  • Manage RSO space reservations including lobby table, meeting space requests, rehearsal space, and event spaces .
  • Support the management of the annual SGA election processes for new or changed members
  • Chaperone/Attend large campus-wide RSO events when needed


Services
  • Coordinate all SGA transportation services requirements by booking transportation schedules, implement service contracts, and ride issue resolution.
  • Coordinate responses to weather-related incidents related to transportation and rescheduled due to difficult weather conditions.
  • Coordinate and publicize vacation/break buses to NY area
  • Coordinate SGA Readership Services and contracts (NY Times, Wall Street Journal, etc)
  • Manage RSO office and storage space/needs

Requirements:
  • High School degree with specialized professional services training
  • Displays proficiency using standard office equipment such as a computer, fax, photocopier, scanner, etc.
  • Proficient in all Microsoft suite applications including Word, Excel, PowerPoint

Additional Information:
