Responsibilities:

The Operations Assistant, Marketing is a member of the Graduate Recruitment and Admissions team and reports to the Associate Director of Recruitment and Admissions at the D'Amore-McKim School of Business (DMSB). The Operations Assistant provides assistance to the Recruitment and Admissions teams in the Graduate School of Business Administration. Key job responsibilities include executing online webinars, sending e-mail campaigns, and executing logistics for on-campus recruiting events. The successful candidate will work with the Associate Director, the Marketing and recruiting teams to plan and execute a webinar schedule, including promotion, e-mail communications, preparing materials, hosting the online events, and participating in online chats with prospective students. They are responsible for scheduling, updating and sending a wide range of e-mail communications on behalf of the Graduate Business Admissions team, including admitted student communications. This individual is responsible for extracting event registration and attendance lists and sharing with the team. The Operations Assistant, Marketing tracks the inventory of marketing collateral, and maintains the displays in the reception area. They attend on-campus information sessions and other recruiting events to help ensure smooth execution and represent DMSB to prospective students. The Operations Assistant, Marketing executes logistics for recruiting and admitted student/yield events - secures meeting space and catering services, and more. This individual assists with recruiting and scheduling faculty/alumni/current students to participate in events. They will participate in online chats with prospective candidates and responds to inquiries in the general admissions email inbox. The Operations Assistant completes other projects as needed, including providing back-up support as needed to the Operations Coordinator/Admissions, the Admissions Operations Analyst (extracting data) and providing back-up front desk support (handling inquiries such as greeting visitors, taking phone calls, and answering or appropriately referring questions). Occasional evening and weekend hours required as needed.

Qualifications:

A minimum of 2-3 years of relevant experience in an office setting preferred. Associates degree required; Bachelor's degree preferred in marketing, communications, journalism, English, or related discipline required. Must have strong written and oral communication skills. Strong customer service skills required. Must have strong interpersonal skills and be able to work well with the public and many constituencies: students, faculty, program managers, and administrators at all levels. Must be detail-oriented, professional, perform a variety of tasks in a busy environment, able to work with confidential information and prioritize tasks and demands. Must be a team player and have the flexibility to respond to meeting deadlines; good judgment and problem-solving skills; think and work independently; take proactive initiative and action. Must have demonstrated facility and/or willingness to learn marketing software programs, including e-mail campaign systems and web content management systems. Experience using Marketo, WebEx or other online event software and familiarity with HTML are plusses. Must be proficient in Microsoft Office. Flexibility to work evenings and weekends as needed is required.
