Pay Grade/Pay Range: 16.50-20.63 *Actual pay depends on qualifications

Position Summary: The administrative assistant will work under the guidance of the Director of Library Services to coordinate the activities of CAV Central and ensure a safe and friendly learning environment for students; complete day-to-day duties using effective communication, organizational and time management skills. Perform confidential and specialized duties accurately.

Required Qualifications:

High school graduate or equivalent
Two years of related work experience in an academic or closely-related work setting
Excellent interpersonal and customer service skills including the ability to meet with students from a variety of backgrounds
Proficiency in the use of personal computer
Proficiency in Word and Excel

Position Details - Job duties include but are not limited to:

SERVE AS CAV CENTRAL RECEPTIONIST - Serve as the point of first contact for students and visitors to CAV Central. Answer queries about CAV Central in person and telephone, direct students to proper resources and monitor check in/out process.

Performance is acceptable when:

  • Students and visitors are greeted in a welcoming manner.

  • Students and visitors' questions are answered accurately and efficiently.

  • Students and visitors are directed appropriately to CAV Central resources or other campus resource in accordance with their stated needs.

  • Students' login process is accurately monitored.

    PREPARE AND ORGANIZE CAV CENTRAL RESOURCE MATERIALS - Order and distribute brochures and bookmarks as required, maintain the supply of handouts for students, order and maintain the list of required office supplies, update the schedule each semester on the webpage and on the bulletin boards as needed.

    Performance is acceptable when:

  • Bookmarks and brochures are printed and distributed as required.

  • Handouts and other materials are available when needed by students.

  • Office supplies are requested and managed well.

  • Reports are completed and submitted in a timely manner.

  • Schedule is updated accurately in a timely manner.

    MANAGE THE DAY-TO-DAY ACTIVITIES OF CAV CENTRAL- manage online questions or requests, prepare student usage reports, submit service requests when needed, coordinate with evening and weekend personnel, identify potential problems that impact the activities of CAV Central.

    Performance is acceptable when:

  • CAV Central use is recorded, and students are notified about other study space options when CAV Central space/computers are unavailable.

  • Online questions/requests are answered and/or students are referred for Academic Support as needed.

  • Student usage reports are prepared at the end of each semester and sent to the Director of Library Services in a timely fashion.

  • Service requests are submitted for any maintenance issue and helpdesk tickets for computer issues.

  • Communicate with other CAV Central personnel of any important information.

  • Maintain inventory of supplies, and other resources.

  • Ensure a positive learning environment is provided for the students.

  • Make sure students follow the policies of CAV Central.

  • Handle student problems in a calm manner and find ways to diffuse the issue in a positive way.
