The Business and Data Processing Specialist will be responsible for providing support to the Office of Finance Aid and other University offices utilizing the Ellucian Colleague database system and SAP reporting platform. This position is responsible for ascertaining offices technical business needs and translating those requirements into programs, workflow processes, and action. It is the responsibility of this position to ensure accurate data and efficient communication of reports and other information to internal and external stakeholders. Position will utilize the Business Objects SAP reporting platform and Microsoft SQL data development tools.

Essential Functions
Serves as lead technical support for the Office of Financial Aid and other offices in the use of Colleague and SAP. Translates business requirements of the department into actionable results utilizing the suite of Colleague tools and programs. Collaborates with IT staff in the pursuit of developing and refining business processes, accurate databases and effective systems required by the University.

  1. Responsible for the configuration and operation of key automated processes. Ensures the proper development of associated system tables, rules, cyclical and automated procedures and on-line systems required to capture and effectively process data into actionable information that benefits the University. This includes the proper annual setup and functionality of financial awarding, auto-packaging, award letters (including Financial Aid Shopping Sheet) and communication management.
  2. Serves as the primary contact as it relates to error code processing. Analyzes database accuracy and reviews reports, error logs and rejection messages to ensure effective processing. Update Job Guide daily/weekly as needed.
  3. Automates Colleague business processes where possible. Proactively seeks automation opportunities that reduce manual processing requirements and produces more accurate results.
  4. Provides end-user support and training. Proactively develops and maintains NDMU training and job guides, FAQs, and technical documentation to ensure processing consistency and operational efficiencies. Trains departmental users.
  5. Supports departmental reporting needs using Business Objects SAP and Microsoft SQL tools. Leverages campus reporting and analytics standards to ensure reports and data-feeds to internal and external services are accurate.
  6. Develops custom forms and creates needed workflow processes. Utilize the Softdocs eTrieve document management platform to develop custom data entry forms and workflows where applicable.
  7. Leverages available training materials, videos, and Ellucian on-line resources; interacts with appropriate IT staff and other external support sources to proactively and continually expand the institutions knowledge base in order to document and implement automated business solutions.
  8. Assure policies, procedures, and practices are in accordance with federal and state laws and regulations governing financial aid, and the Universitys operational policies and procedures.
  9. Serve on University committees, taskforces, workgroups, etc. as designated. Routinely meets with assigned departmental staff and IT to ensure business needs and standardized solutions are understood and supported.
  10. Performs such similar, comparable, or related duties as may be required or assigned.

 

Qualifications:

  • Education: Associates degree in information technology/systems, data science or related field from an accredited college or university required. Bachelors degree preferred. Additional years of related experience may substitute for required education.
  • Experience: Minimum of three (3) years of related experience in database management and processing. Experience in higher education setting utilizing Ellucian Colleague or other similar higher education ERP database preferred. Experience with federal Title IV financial aid regulations and business operations is preferred.
  • Skills/Aptitude: Demonstrated understanding of database management, reporting/analytics, and data exchange techniques, preferably in higher education financial aid or finance. Demonstrated experience managing data ETL, workflows and communications with a working knowledge of system integration and interoperability. Demonstrated experience developing reports, producing analytics extracts, and using pivot tables in Microsoft Excel. Familiarity with Microsoft SQL basics and the SAP Business Objects reporting and analytics platforms. Adept and enthusiastic about learning new technologies and skills in order to continually adapt in an evolving field. Keen troubleshooting ability, attention to detail and audit/error code processing skills. Must value the importance of establishing durable data processing standards and in developing and maintaining technical documentation. Excellent interpersonal, oral, and written communication skills. Ability to work independently and collaborate with others of varying levels of technical experience, including the ability to mentor departmental staff. Excellent time and project management, organizational, and documentation skills. Ability to self-motivate and manage multiple competing projects and deadlines.
  • Working Conditions: Normal office environment (walking, sitting, climbing stairs, reaching, etc.). Light physical demands such as bending, carrying, kneeling, lifting, and pushing may be required. Some overtime may be occasionally required.
