Summary/Objective

The position is part of the marketing team at the Kogod School of Business and is responsible for creating and managing strategic high-impact events hosted by the school. The individual will develop events to maximize engagement with current students, faculty, and staff, and inspire involvement from individuals outside of the university. The individual will expand upon existing programs to help advance the reputation of the Kogod School of Business. This is the first person that clients interact with and is often who answers all questions about event logistics, partnerships, and marketing.

Responsibilities include the strategic management of the event calendar; strategic and logistical support for all events and programming initiatives; serving as the liaison for internal and external vendors; and event budgeting and oversight. The position may provide direct supervision of a part-time Events Coordinator. This position works collaboratively with all staff, faculty, and deans thus requiring a strong sense of accountability, responsibility, customer service, and excellent managerial and organizational skills. The position operates under limited supervision and requires some availability.

Essential Functions
  1. Event Planning and Program Management:Curates and maintains the central calendar of events for Kogod events, with input across the University, to strategically plan events, eliminate overscheduling during peak times, and inform facilities maintenance schedule. Manages the overall logistical planning and services and serves as Kogod’s central event planning resource. Provides guidance and support through event consultations with faculty, staff, and students to determine the strategic and logistical needs of their events and coordinates the necessary arrangements. Works directly with campus service providers to order the necessary catering, audio visual, housekeeping, and support equipment to ensure a successful event. Assists with managing on-site event production including lifting and moving furniture and clean-up for events. Assists in managing hybrid events including the coordination of the virtual experience at those events. Manages virtual events to provide a great experience for both panelists and participants. Provides event management assistance to external constituencies holding events in the Kogod School of Business.
  2. Strategic Planning:Implements a strategic vision for the conception, design, and production of all events so that they are innovative, engaging, and inspiring. Acts as single point of contact with all internal and external event clients. Creates timelines and plans for all events. Creates and maintains a system for managing the process in the most effective way possible. Coordinates the creation of all pre-event, event, and post-event promotional communications. Executes the events process and plans strategic events at least six months in advance.
  3. Supervision of Event Coordinator:Directs the event preparation and production work completed by the part- time Events Coordinator who aids the events team by setting up furniture, creating name badges and tent cards, processing event space requests, and evening event setups for morning events.

  • Incumbent must be willing and able to work occasional late night and/or weekend event.
Required Education and Experience
  • Bachelor's degree in Communication, Marketing and Public Affairs or closely related field.
  • 4-6 years of progressive event management experience.
  • Ability to manage multiple tasks simultaneously and to work effectively with diverse constituencies and across administrative lines is essential.
  • Demonstrated event planning skills and strong problem-solving and decision-making skills.
  • Experience working in the Higher Education environment.
  • Ability to work in a highly collaborative environment.
  • Well-developed written, verbal, organizational, time management, and interpersonal communication skills.
  • Demonstrates skill using email, word processing, spreadsheet/ data analysis and presentation development software applications such as Microsoft Outlook, Word, Excel and PowerPoint while preparing briefings, reports and presentations.
