Summary/Objective

Reporting to the Assistant Vice President of Alumni Relations, the Senior Administrative Assistant (SAA) provides administrative support to the assistant vice president of alumni relations in the Office of Alumni Relations (OAR). The SAA interacts with and manages logistics for the American University Alumni Board and interacts with senior administrators and high-level alumni and donors to the University. The SAA is also responsible for providing general office management oversight, streamlining and maintaining centralized functions that support the entire team.

Essential Functions
  1. General Administrative duties, including but not limited to managing the AVP’s calendar; making travel arrangements; transcribing correspondence and phone outreach to constituents; organizing and maintaining filing systems; assisting with events and other meetings held by the AVP; making on-campus deliveries or pick-ups of materials; reconciling credit card transactions of the AVP; conducting basic research (for names, phone numbers and addresses); and producing mailings and meeting materials as needed. Manage ongoing volunteer stewardship projects, such as monthly congrats letters to alumni and the bi-annual audit of volunteer coding.
  2. Manage the logistics and communications for four quarterly Alumni Board meetings including space reservation, catering, and preparations of materials; manage logistics and communications for annual board orientation for new members; interact with Alumni Board members to schedule phone calls, committee meetings, etc.
  3. Support central office functions that increase efficiency for the entire time; these functions may include the coordination of the annual promotional items order; collection of dashboard data; and management of the hiring process for student staff.
  4. Support functions that enable OAR to collect data that supports goals and can effectively reflect outcomes. This includes management of dashboard data and may include support for other data collection projects as needed/appropriate.
  5. Meets regularly with Cohort Assistants (coordinated by the Executive Assistant to the Vice President of Development and Alumni Relations).
  6. Perform other duties as assigned by the Assistant Vice President to enhance the mission and goals of OAR and DAR.


Supervisory Responsibility
  • This position reports directly to the Assistant Vice President of Alumni Relations. This position may supervise student and/or part-time staff.
  • Number of Personnel Directly Supervised: May supervise student workers each semester.

Required Education and Experience
  • High School Diploma or equivalent required.
  • A minimum of 2-3 years of administrative experience required.
  • Demonstrated organizational and decision-making skills with follow-up abilities.
  • Mature and professional attitude, customer/client focus; highly developed interpersonal skills; energetic and detail oriented.
  • Clear, concise reporting and writing style.
  • Computer literacy, particularly MS Word and Excel.
Preferred Education and Experience
  • Bachelor’s degree preferred.
  • Intercultural communication skills or a level of intercultural competence preferred.
